Lead assignment settings

The page where you set, person by person, which new website and portal leads each salesperson takes, and when.

Settings › Sales & orders › Lead assignment is where you tell MoveBoard which salesperson takes which lead that arrives by itself (website form, customer portal, AI receptionist, lead providers). The full order MoveBoard follows — move-out orders, returning customers, then these rules, then the longest-waiting person — is explained in Who gets each lead.

Before you start

Anyone who can open Settings can change this page. Only active office users who can sign in are listed — foremen, drivers and helpers never take leads.

What's on the page

The People card lists every office user with one line under the name, for example Gets leads · Residential & Commercial · every day or Doesn't get leads automatically. Press Edit next to a person. The pop-up reads like a sentence:

  • "<Name> gets new leads automatically" — the switch at the top. Off stops every new lead going to them; their settings are kept for when you switch it back on.
  • "<Name> gets a new lead when it is…" and six lines: Kind of move, Service, Lead source, Size, Price and When. Each says the current setting in plain words. Press Change to open a line, and Done to close it. - Kind of move, Service and Lead source: pick All, or Only these… and tick them in the list (search box, 12 of 65 picked, Pick all and Clear; the ticked ones are on top). - Size and Price: Any size / Any price, or Only these… and tick the sizes (Tiny, Small, Medium, Large, Very large, Huge) or the price bands. - When: one row per day — switch the day on or off, pick From and to, and + Add hours for a second shift that day. A shift that ends after midnight says next day. The quick buttons set the whole week at once: Every day, all day, Weekdays 9 AM – 5 PM, Mon – Sat 8 AM – 8 PM and Copy Monday to every day.
  • In one line sums it all up, for example Lauran gets Residential or Commercial leads · all 12 services · from all 65 lead sources · any size · any price · every day, all day.

Press Save. Save lights up only when something really changed; the footer says Changed — not saved yet or No changes. You see Saved lead assignment for ….

More than one rule

Most people need one rule. Use + Add a second rule only when some moves need different lead sources, sizes or prices — for example Military local moves from one source only. The rules show as tabs (Rule 1, Rule 2, + Add rule). Each kind of move + service sits in one rule, so a lead always follows exactly one rule. The working hours belong to the person and count for every rule.

Good to know

  • No working hours means no leads. A person with every day switched off gets no new leads.
  • All really means all: a lead source, service or kind of move you add later is included too. Only these… is a fixed list — one you add later isn't in it until you tick it.
  • Times are your company's time zone.
  • The same editor is on each person's Auto Assignment tab in Users.
  • Leads made by someone in the office are theirs (a new customer) or go back to the customer's salesperson — these rules don't apply.

If something goes wrong

  • Tick at least one move type in each rule. / Tick at least one service in each rule. — open Kind of move or Service and tick one.
  • …the hours start and end at the same time — pick a later to on that day.
  • A message that a kind of move and service is also in rule … — that rule's tab opens, outlined; take it out of one of the two rules.
  • A line in orange that says no leads (for example None picked — no leads) is a setting that stops every lead: change it, or the person gets nothing.
