Settings › Documents & bill of lading › Custom documents lets you write documents of your own for customers to sign — a damage waiver, a stairs release, a parking agreement. Send them by email or text, or have them signed on the bill of lading.
Before you start
Anyone who can open Settings can change this page. Nothing is saved until you press Save (the footer shows only while something changed). A change to the words or fields saves a new version: documents already sent keep the words they were sent with.
Make a document
- Press New document and give it the name the customer should read — "Damage waiver". Its template variable is made from the name.
- The document shows as the customer will read it. Click the words to type.
- Drop in chips: - order details — Find a variable; - fields the customer fills — Signature, Initials, Checkbox, Radio group (with its Choices), Yes / No toggle, Text box, Date. Mark a field Required where they must answer.
- Who it is for — the Services, Move types and Estimate types (Binding, Non-Binding, Flat Rate). Nothing picked in a row means every order; with several rows picked, the order must match each of them. Services lists every service your company has — one that is turned off shows (turned off), so a document can still be for it. The document is then offered only on the orders it is for: in the order's Documents, on the customer's portal and on the bill of lading.
- In use — In use — the office can send it and the bill of lading uses it, or Off — not offered anywhere.
- Press Save.
Reminders when it isn't signed
Sent until the customer signs — never between 9 PM and 8 AM their time.
- Reminders for every document (top of the page): First reminder after (hours), Then every (hours), Up to (times) (at most 10), Remind by (Email, Text or Both), and the Email template / Text template (or the Default message). Save reminders.
- Each document: The company's reminders, Its own reminders, or none.
On the bill of lading
- Extra page of the bill of lading — the document becomes a page of the crew's bill on the orders it's for.
- Must be signed before — a step the crew can't pass until it's signed: Taking payment, Any signature on the bill of lading, or a particular signature. When the crew or the customer reaches this step, the bill opens this document first and comes back to the step once it is signed. The Payment signature is the customer's signature in the payment window, so a document set before it opens when the crew taps PAY / Take payment, before any money is taken. The Release form (start) and (end) signatures open it when the crew taps Sign on the release form. The crew also can't submit the bill (SUBMIT PICK UP, SUBMIT DELIVERY, SUBMIT CONTRACT) while a required document is unsigned — the submit opens it first, even if the step itself was skipped.
Template variable
The document's variable (@doc_…) can go in any email or text template: it becomes the customer's own link to sign this document for that order. The template's Variables list has it under Documents.
Signed documents land in the order's attachments — see The documents panel.
If something goes wrong
- Give the new document a name.
- Field checks on the customer's side: It must be ticked, One choice must be picked, Yes or No must be picked.
- Delete asks first (Delete “…”?).
