Fuel surcharge

The page that sets how fuel is charged on hourly and long-distance moves — by mileage bands, as a percent, or per mile — and whether it's charged per truck.

Settings › Pricing & calculator › Fuel surcharge decides the Fuel Surcharge row on every quote. The three ways and how each is worked out are explained in Fuel surcharge.

Before you start

Anyone who can open Settings can change this page. It is kept per move type (pick it at the top), and each move type has separate Hourly and Long Distance settings (the switch in the card's corner). Nothing is saved until you press Save.

How fuel is charged

Pick one way. The other ways stay in view, greyed.

  • Fuel by mileage (hourly only) — distance bands, each with an Amount: From Distance, To Distance, Amount. Add a band; the bin deletes one (it asks first).
  • Fuel percent — Default Local fuel surcharge from quote (0–100%) and Apply percent to: Both, Min, Max or Avg of the quote's range.
  • Fuel settings by miles/km — a price per mile (or km), Start charge from distance, and the way the distance is measured (Way 1 with its Direction, Way 2, Way 3, Way 4).

Fuel surcharge is a percent of

For a Fuel percent, choose what the percent is taken of. It is one choice per branch — the branch you're working in — and covers every move type, hourly and long distance. An administrator's Advanced copy between branches (see Branches) carries it with the rest of the fuel surcharge settings:

  • Whole quote (labor, travel, services, packing) — the percent of labor and travel plus additional services and packing materials. This is how it works until you choose.
  • Labor and travel only — the percent of labor and travel alone (the flat price of a flat-rate move, the line haul of a long-distance move). Services and packing carry no fuel.

The choice reaches every place the fuel shows: the quote, the closing, the bill of lading, the client portal and Ed. An order already quoted keeps its fuel until it is recalculated (an edit on the order). It only changes the Fuel percent way; fuel by mileage and per mile stay as they are.

Per truck

  • Charge Fuel Surcharge Per Truck — a move with two or more trucks pays the fuel once for each truck.

Copy and save

Copy to other move types copies the settings and the bands, and waits for Save.

On one order, the office can replace the calculated fuel with a percent or a flat amount — see Change the deposit or fuel amount on an order. A percent typed on an order follows Fuel surcharge is a percent of too: on Labor and travel only it is taken of labor and travel (the flat price, the line haul) — on the quote, the closing and the crew's bill of lading. On a long-distance order, a typed fuel wins over the long-distance fuel setting.

If something goes wrong

The mileage bands are checked as you type: a band that ends before it starts, or overlaps another, is marked and stops Save.
