Your phone, answered. Your lead, already in.
MoveBoard's AI Receptionist answers your company's phone on its own local number. Ava, or whatever you call her, asks the questions a moving estimate needs, prices the move with your own calculator, offers arrival windows that are really open, and texts the caller the link to book online, day or night.

What it fixes
The day before AI Receptionist, and the day after.
The phone rings while everyone is on a job, and the caller books the next mover on Google.
The AI picks up, prices the move and offers real open times on the spot.
After-hours callers leave a voicemail, and half of them never call back.
Night callers get an estimate and the booking link by text before they hang up.
Someone types the lead in later, from memory, and the stairs and the COI get lost.
The lead lands complete, with the COI or permit saved on the right address.
How it works
AI Receptionist, screen by screen.
01 / The estimate
Your prices, with the reasons.
For a full home it asks only what the estimate needs first: the date, the bedrooms, both ZIP codes, the floor and stairs or elevator at each end, and packing. If they want packing, it always offers unpacking too. The number comes from your calculator, said with its basis: the crew, the truck, the rate and the hours. Then it fine-tunes: the walk to the truck and heavy items like a piano or a safe, re-priced on the spot.
- Just a sofa? A few-item path that never asks about bedrooms
- The truck size from your own trucks, by the move's cubic feet
- "Next Friday" becomes a real date from the calendar; past dates are refused
- Long-distance moves: never a figure, a rough ballpark or a range, your choice

The estimate
It gives the estimate with its basis (crew, truck, rate, hours), then a specific next step.
02 / Arrival windows
Open times that are actually open.
With Offer real arrival windows on, it checks your calendar, your trucks and your booked jobs the same way online booking does, and offers two open arrival windows on the caller's day, or the nearest open dates. Nothing is held, so your office stays in charge of the schedule.
- Your blocked days and arrival windows from your own settings
- Your fleet's jobs, days off and blocked time
- The caller picks a window and books it from the texted link

03 / The right address
A COI for the delivery stays on the delivery.
One fact about one address stays with that address. A certificate of insurance or a parking permit is saved on that stop's own switches, and every note names the address it belongs to, so the crew and the office never guess. Questions about permits, insurance, deposits or what's included are answered only from your company's facts and FAQs.
- COI and parking permits saved on the one address they apply to
- A rule written for one city is never quoted for another
- The lead is saved as the call goes, so a dropped call still leaves it

Nothing lost, even if the call drops
Ava (AI receptionist) · call summary
Dana is moving a two-bedroom on the 3rd floor (elevator) in Quincy to Braintree on Fri Oct 16. Wants full packing and partial unpacking. The Braintree building needs a COI. Leaning to the 8–9 AM window; will book online tonight.
04 / The booking link
Read back the number, then text the link.
The booking link only goes out once the caller's first name is known and their number is confirmed: it reads back the last four digits of the caller ID, or a different number in groups, and waits for a clear yes. Right after the estimate the caller gets the text to review it and book online.
- Something unusual? It asks for a photo through the texted link
- A different number is read back and confirmed before anything is sent
- Email can be required for an estimate, if you want it
- Her name, greeting, voice and speaking speed are yours to set

Hot leads
A hot lead is a move within 72 hours. A move within days books with whoever answers first.
05 / Next steps
A booking, a specialist, or a live transfer.
After the price it closes with a choice: book online with the texted link, or a call from a specialist at one of two times. While you're open it can put a caller through to sales, and a move within your hot-lead window is flagged hot. A callback time is kept as the caller said it. Something missing or damaged after a move becomes a claim task for your managers, never for sales.
- An AI summary of every call in the order log, with the recording
- Calls, leads and what was charged from your balance, in its settings
- After hours, hot leads can be marked urgent
- In-home estimates and video walkthroughs, if you offer them

An estimate and a booking link, any hour
The caller hears a real estimate from your calculator and gets the online booking link by text before the call ends.
Does the AI Receptionist give real prices?
Yes. The estimate comes from your own calculator, the same pricing MoveBoard uses for your quotes, and it explains the basis: the crew, the truck, the rate and the hours. For long-distance moves you choose whether it gives no figure, a rough ballpark or a range.
Can it book a time?
It offers arrival windows that are really open, checked against your calendar, trucks and booked jobs, and texts the caller the online booking link to book. Nothing is held on the phone, so your office stays in control of the schedule.
Which phone number does it use?
Its own new local number, never your texting number. You can send calls to it from your main line, for example with call forwarding.
Can it put a caller through to my team?
Yes. While your office is open it can offer a live transfer to sales. Otherwise it offers a call from a specialist at one of two times, and keeps the callback time the caller asked for.
What can I change about it?
The receptionist's name (Ava to start), the greeting, the voice and its speaking speed, whether it says the call is recorded, whether it gives a price, offers arrival windows, texts the booking link, offers in-home estimates or video walkthroughs, and the words of its sales playbook. Prices always come from your calculator.
What does it cost?
There's no contract. Each call is paid from your company's prepaid balance, and the settings show what was charged.
