At Elromco, Inc. (“Elromco,” “we,” “us,” or “our”), we are committed to protecting your privacy. This Privacy Policy describes how we collect, use, and share information when you use our website and moving software platform.

Information We Collect

We collect information you provide directly, including your name, email address, phone number, company name, and billing information when you create an account or request a demo.

We automatically collect certain technical information when you visit our website, including your IP address, browser type, operating system, referring URLs, and pages viewed.

If you use our moving software platform, we collect data related to your business operations, including customer information, job details, and financial data that you input into the system.

How We Use Your Information

To provide, maintain, and improve our software platform and related services.

To process your transactions and manage your account.

To send you technical notices, updates, security alerts, and support messages.

To respond to your comments, questions, and customer service requests.

To communicate with you about products, services, offers, and events offered by Elromco.

To monitor and analyze trends, usage, and activities in connection with our services.

To detect, investigate, and prevent fraudulent transactions and other illegal activities.

Information Sharing

We do not sell, trade, or rent your personal information to third parties.

We may share your information with third-party service providers who perform services on our behalf, such as payment processing, data hosting, and email delivery. These providers are contractually obligated to protect your information.

We may disclose your information if required to do so by law or in response to valid legal requests by public authorities.

If Elromco is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

Data Security

We implement industry-standard security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction.

All data transmitted between your browser and our servers is encrypted using SSL/TLS technology.

We regularly review our security practices and update them to maintain the highest level of protection.

While we strive to protect your personal information, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security.

Cookies and Tracking

We use cookies and similar tracking technologies to collect and track information and to improve and analyze our services.

Essential cookies are necessary for the website to function and cannot be switched off. They are usually set in response to actions you take, such as setting your privacy preferences or logging in.

Analytics cookies help us understand how visitors interact with our website by collecting and reporting information anonymously.

You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, some features of our services may not function properly without cookies.

You have the right to access, update, or delete your personal information at any time through your account settings or by contacting us.

Data Retention

We retain your personal information for as long as your account is active or as needed to provide you with our services.

We will retain and use your information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements.

When your data is no longer needed, we will securely delete or anonymize it.

Children's Privacy

Our services are not directed to individuals under the age of 18. We do not knowingly collect personal information from children.

If we become aware that we have collected personal information from a child, we will take steps to delete such information promptly.

Google User Data in MoveBoard

This section explains what MoveBoard does with data from your Google account when you connect Gmail. It adds to the rest of this policy.

What we access

When you connect a Gmail or Google Workspace mailbox, you give MoveBoard permission to:

  • send email from your mailbox,
  • read the messages in your mailbox, and
  • change their labels (read or unread, starred, archived, spam) and move them to trash or back.

We also receive the email address of the Google account you connected. We cannot permanently delete your email.

How we use it

We use this access only for features you see in MoveBoard:

  • Sending. Emails you send from an order or from the Mail page go out from your own mailbox and stay in your Sent folder.
  • Replies in the order. Every few minutes MoveBoard checks your Inbox for new messages. If a message comes from an email address that belongs to one of your company’s customers, a copy is saved in that customer’s order conversation so your team can see it. Other mail is not copied.
  • The Mail page. MoveBoard shows your mailbox so you can read, reply, forward, mark, star, archive, report spam and move mail to trash.
  • AI writing help (optional). If you use MoveBoard’s AI tools to draft or translate a reply, the text of that conversation is sent to our AI provider (OpenAI) to produce the draft. It is not used to train any AI model.

What we store

  • The access and refresh tokens Google gives us, so MoveBoard keeps working without asking you to sign in every time.
  • Copies of customer emails that were matched to an order (they become part of that order’s record).
  • A short list of recent threads (sender, subject, date, a short preview) so the Mail page opens quickly.

Who we share it with

We do not sell Google user data. We do not use it for advertising, and we do not give it to data brokers or information resellers. We do not use it to decide credit-worthiness or for lending. We share it only:

  • with the service providers that run MoveBoard for us (cloud hosting and database, and our AI provider, OpenAI), under contracts that keep it confidential and use it only to provide MoveBoard. OpenAI processes this data only to produce the drafts and translations you ask for and does not use it to train its models;
  • inside your own company account, with the teammates who can see that order or that shared mailbox;
  • when the law requires it, or to protect the security of MoveBoard and its users.

Who can see it at Elromco

Elromco staff do not read your email. They can see it only if you ask for help and give them access, when needed for security or abuse investigation, or when the law requires it. Support access works through a support key that someone in your company creates in MoveBoard. Creating a support key is your company’s explicit consent for Elromco support staff to enter your account, for the time the key allows, to help with your request. You can let a key expire or remove it at any time.

AI and machine learning

We do not use Google user data to create, train or improve any artificial intelligence or machine learning model, and we do not let our providers do so.

Keeping and deleting it

  • You can disconnect your mailbox at any time in MoveBoard (profile menu → Connections, or Settings → Mailboxes). When you do, we revoke our access with Google and delete the stored tokens and the Mail page’s copy of your threads.
  • Customer emails that were already saved into an order stay in that order, because they are part of your company’s business record. Your company’s administrator can delete them, or you can ask us at support@elromco.com.
  • You can also remove MoveBoard’s access from your Google account at https://myaccount.google.com/permissions.

Limited Use

MoveBoard’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Security

Data between your browser, MoveBoard and Google is encrypted in transit (TLS). Our database is encrypted at rest and access is limited to the staff and systems that need it. MoveBoard completes Google’s independent security assessment (CASA) and renews it every year.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the effective date.
