Affiliate rewards pay your partners — realtors, stagers, property managers — for the moves they send you, and can give their customers a discount. It works on Affiliate accounts (Accounts › Affiliates), for moves that came through the affiliate's referral link or that the office marked Referred by them. It is off until you switch it on; while it is off, nothing changes.
MoveBoard records what you pay your affiliates. It never sends money.
Switch it on and set the defaults
- Go to Settings › Affiliates › Rewards.
- Switch on Reward affiliates for the moves they send.
- Set the default terms. Every affiliate starts with these: - Reward: a set amount per job (for example $25), or a percent (for example 5%). - The percent is taken from: the final total (the bill of lading), or the estimate when booked. - Percent of a range estimate uses: Low (the default), Middle or High. - Total counts: everything except taxes, tips and refunds (the default), or moving charges only. - Earned: when the customer has paid in full (the default), when the job is done, or when the move is booked. - Discount for the referred customer: none, a percent, or a dollar amount, and whether it goes on only through the link or also when the office picks the affiliate. - A move cancelled after it was paid out: take it back on the next payout (a minus line, the default), or keep it. - Moves that count: only the referred move (the default), or every move of that customer for a number of months. - Partner portal: on or off.
- Choose what partners see of a customer in their portal: first name and last initial (the default) or the full name, with the from city → to city. They never see a phone, email or street address.
- Press Save.
Rewards count for referrals made from the day you first switch this on. Referrals from before that are never paid.
One affiliate's own terms
Open the affiliate's account. The Rewards card shows its terms; each one says Company (it follows the settings above) or Own. Press Change to give this affiliate different terms. Anything you leave as the company's keeps following the company's settings. Use the company's terms puts them all back.
How a reward works
- A referred move gets a reward line as soon as it comes in: Pending. A percent of the final total shows as Expected (worked out from the estimate) until the job is closed.
- When its moment comes (paid in full, job done or booked), it becomes Earned, with that day's date.
- While it is not paid out, the reward follows the move: a new estimate or final total changes it, and a cancelled move removes it.
- After it is paid out it stays as it was. If the move is cancelled after that, a minus line takes it back on the next payout (unless you chose to keep it).
- Every change goes on the order's and the account's log, so the numbers never change silently.
- The numbers are worked out again every few minutes.
The order window's Referred by shows the reward, for example Compass Realty · 5% of closing · $38.20 earned.
The referred customer's discount
When the affiliate has a discount, it goes into the order's normal Discount field (a percent on every day, or dollars once on the first day), named Referral discount (Compass Realty) in the order's log. The office can change it like any discount.
- It goes on only while the order is still a lead. A booked price is never changed.
- If the order's own account has an account discount, the account discount wins: the referral discount is not added, and the order says so.
Who can change it
Manage affiliates and rewards changes the default terms (with the settings permission), an affiliate's terms and its partner portal. Record affiliate payments records payments. Administrators have both and can give them on the Permissions tab.
