Settings › Users & permissions › Notifications decides who in the office hears about what: a new lead, a customer who paid, a task for them, and so on. Each notification can reach a person in the app (the bell), by email, or by text.
Before you start
Anyone who can open Settings can set a person's notifications here. The Defaults by position card shows only to people who may manage the company's employees.
The grid has these columns:
| Column | Meaning |
|---|---|
| On | The person is told of it at all. |
| App | It appears in the bell. |
| It is emailed to them. | |
| Text | It is texted to them. |
| Only mine | Only for orders that are theirs. |
Defaults by position
This is the one place a new person's starting notifications are set: when someone is added, they get the defaults of the positions they hold. Departments set permissions only.
One row per position — Sales, Customer Service, Manager, Finance, Dispatcher, Admin / Owner, and the crew positions — with how many notifications are on, how many people hold it, and changed for this company when you changed the suggested set. Crew positions start with nothing: office notifications are not for them.
- Press Edit on a position.
- Switch the rows and channels on or off.
- Press Save. Nobody's settings change yet.
- To give the new set to the people in that position, press Apply to Users and confirm with Apply.
Back to suggested (in the edit pop-up) returns a changed position to MoveBoard's suggested set.
One person
- In the Users card, find the person (Search Users) and press Edit.
- Tick which notifications reach them and by which channel. The first row of each group switches the whole group.
- Press Save. You see Saved … subscriptions for ….
Saving replaces everything the person had with what you ticked. A notification that is On with no channel stays a subscription: the person can pick its channels themselves from the gear in the bell.
What happens next
The changes take effect for the next notification. One event sends one message per person, by the channels switched on — see The notifications bell.
