Settings › Payments & billing › Crew pay time — The time you bill the customer and the time you pay your crew. Each branch has its own.
Before you start
Anyone who can open Settings can change this page. Nothing changes until you press Save. The switch starts off: your payroll keeps working exactly as it does today until you turn it on.
Two times for every job
Every job keeps two times, both from the same bill of lading:
- Worked time — the crew's labor time to the minute, plus the travel time as it's charged (travel isn't clocked). For example, labor 3h 07m + travel 15m = 3h 22m.
- Billed time — the same time with your rounding: quarter hours and your minimum hours. For example, 3h 30m.
The customer always pays the billed time. The bill of lading, the closing's Total Time and every document the customer sees show the billed time only.
Pay your crew for the time they worked
Turn on Pay the crew for the time they actually worked, then press Save.
- Payroll pays each person's Hourly Rate for the worked time. A job worked 3h 22m pays 3.37 hours. Hours are shown in hundredths of an hour, like the rest of payroll.
- Worked time leaves out the minimum hours. If a 3-hour minimum lifts a 1h 40m job to 3 hours on the bill, the crew is paid for 1h 40m plus travel.
- To pay the crew the minimum too, turn on Also pay the minimum hours (it shows under the first switch while that one is on). Then a job shorter than your minimum pays the minimum — 3 hours plus travel in the example — and a longer job still pays its exact minutes. It starts off.
- The customer is still billed in rounded time, so the bill and its total don't change.
- Commissions taken as a percent of the total, packing commissions, bonuses and tips don't change.
With the switch off, the crew is paid the same rounded time the customer is billed.
Where the office sees both times
- The closing — under Total Time, a line reads, for example, Worked 3h 22m (labor 3h 07m + travel 15m) — the crew is paid this; the customer is billed 3h 30m.
- The order's payroll — the top of the pop-up says which hours are paid, for example Hours paid: worked time 3.37 h (the customer was billed 3.5 h).
- Payroll reports — Hours on Payroll by Employee and Payroll by Period are the hours paid on each payroll, so they are the worked hours while the switch is on.
Payrolls you already have
A payroll made before you changed the switch keeps its hours. To recount one, open the order's closing and press Update payroll from closing — see Update payroll from closing.
