Who gets each lead (assignment rules)

The order MoveBoard follows to give each incoming lead a salesperson, how to set each person's rules, and what the "Not assigned automatically" notice means.

When a lead arrives on its own — from your website, the customer portal, the AI receptionist or a lead provider — MoveBoard picks its salesperson. It checks these in order and stops at the first that fits.

Who gets the lead

  1. A move-out order (from storage, or made with Create move-out order) goes to the salesperson of the order it's linked to.
  2. A returning customer goes back to their salesperson — the one on their latest assigned order. MoveBoard recognises them by email, or by the same phone number and last name. If that salesperson is no longer active, the rules below decide.
  3. The rules. A salesperson can take the lead when all of their rules match: the move type and service, the lead source, the size (cu ft), the price, and their working hours right now. When several can, the one who has waited longest since their last lead gets it — someone who has never had one goes first.
  4. Nobody fits — the lead stays unassigned, and the order says why.

Leads you make yourself

When someone in the office makes the lead, it's theirs if the customer is new. A returning customer goes back to their salesperson (or stays with you if theirs is no longer active).

Set the rules

  1. Go to Settings › Sales & orders › Lead assignment. Every active office user is listed under People, with one line that says whether they get leads.
  2. Press Edit next to a person.
  3. Switch on <Name> gets new leads automatically. A person who had no rules starts with everything: any kind of move, every service and lead source, any size and price, every day, all day.
  4. Narrow it down if you need to: press Change on Kind of move, Service, Lead source, Size, Price or When, pick All or Only these…, and press Done.
  5. Set their hours under When — a quick button such as Weekdays 9 AM – 5 PM, or each day's From and to.
  6. Press Save.

All under Kind of move, Service or Lead source includes ones you add later. Only these… is a fixed list: one you add later isn't included until you tick it.

When nobody is picked

The order window shows a notice under Assign to — "Not assigned automatically:" and the reason, with a link to the setting that fixes it. On the Orders list, a gold ? beside the empty salesperson shows the same words. The reasons are:

  • nobody in this branch takes leads by auto-assignment
  • the lead source isn't one of the company's lead sources
  • nobody's auto-assignment takes that service's leads
  • it came in outside everyone's auto-assignment hours
  • the lead source isn't switched on in anyone's auto-assignment
  • the size or price is outside everyone's ranges
  • the returning customer's salesperson is inactive, and one of the above

Assign the lead by hand (see Assign a lead to a salesperson) and the notice goes away. Fix the setting so the next one is picked.

What happens next

The Order Log says how the lead was assigned, for example "Assigned to Sue Sales — by rotation", "— returning customer", "— created the order" or "— same as the storage move-in order".

If something goes wrong

These stop Save in the editor:

  • "Tick at least one move type in each rule." / "Tick at least one service in each rule."
  • "A range cannot end before it starts."
  • "Residential · Local Move is also in rule 2 (outlined). Each move type and service can be in only one rule: take it out of one of them."
