Lead and order statuses

What each status means, which ones MoveBoard sets on its own, and which changes need an admin.

Every order has one status. It decides which stage of the Orders list the order sits in, what the customer reads on their portal, and which automatic messages go out.

The statuses

StatusWhat it means
NewA fresh lead nobody has worked yet.
New-InfoThe customer changed something on their move (or finished their inventory) — check it.
New-DateThe customer changed their move date — check it.
New-TruckThe truck this lead was quoted on went to another booking. Find it another truck or time.
New Lead PastThe requested date has passed, or a Can Book Online quote ran out the day before the move.
Follow UpSomeone is chasing this lead.
Can Book OnlineThe quote is ready and the customer can book it themselves from their portal.
ReservedThe move is held for the customer — date and truck — on its way to booked.
BookedA confirmed job.
Booked-CompletedShown, not picked: a booked order whose every day is completed and closed out. It still counts as Booked everywhere.
PostponedA reserved or booked move put on hold.
CancelA reserved, booked or postponed move that was cancelled.

ArchivedTaken out of sight. Only admins can archive, and only admins can find archived orders again.

The New variants all show under the New lead stage of the Workflow view.

Change the status

  1. Open the order.
  2. Press the status button at the top left (Status: New, for example).
  3. Pick the new status in Move this order to….
  4. Press SAVE.

Picking a status only stages it, like every other change in the window. Nothing changes until SAVE, and that is when MoveBoard checks the rules below.

To change many orders at once, tick them on the Orders list and use Change status — see Act on several orders at once.

Statuses MoveBoard sets on its own

  • New-Info / New-Date — when the customer changes their move on the portal. A New, Can Book Online or Reserved order goes to New-Date if the date moved, otherwise New-Info.
  • New-Info — when the customer's inventory is sent to you.
  • New-Truck — when another order is booked or reserved on the same truck at the same time, or a truck is held for that time.
  • Expired / New Lead Past — your expiration rules. See Quotes that expire.
  • Booked — when the customer books and signs online.

The rules

  • Archived is for company admins only.
  • Postponed only from Booked or Reserved.
  • Cancel only from Booked, Reserved or Postponed. A lead that never booked is closed with Dead Lead, Not Interested or Bad Lead instead.
  • From Postponed, the only ways out are Cancel, Archived (admins) and Re-reserved — reserving it again with a date and a truck.
  • Booked, Reserved and Can Book Online need the customer's first name, last name, email and phone, and trucks on every day.
  • A completed job's status can't be changed until the job is reopened.

If something goes wrong

These are the messages you may see at SAVE:

  • "Only an administrator can archive an order."
  • "Only a reserved or booked order can be postponed."
  • "Only a reserved or booked order can be cancelled. For a lead that did not book, use Dead Lead or Not Interested."
  • "A postponed order can only be cancelled, reserved again, or archived by an administrator."
  • "To book this order, add the customer's email and phone number in the Customer section." (it names exactly what is missing)
  • "To save these changes, assign a truck to your move: use Schedule Date/Truck to pick one."
  • "To save these changes, assign a truck to your move: use Schedule Date/Truck on the Pickup tab of Move Details to pick the pickup truck." (a long-distance order)
  • "This job is completed, so its status can't be changed. Reopen the job first (Completed ✓ → Reopen order)."
