Not every lead books. When one won't, give it the status that says why — your reports then show where business slips away, and the customer reads the right words on their portal.
The five lost statuses
| Status | Use it when | The customer's portal reads |
|---|---|---|
| We Are Not Available | You can't do the move — no truck or crew that day. | We Are Not Available |
| Expired | The quote ran out. MoveBoard usually sets this itself. | Expired |
| Dead Lead | The customer went quiet or chose someone else. | Not Interested |
| Bad Lead | Spam, a wrong number, a test, or not a real move. | — |
| Not Interested | The customer told you no. | Not Interested |
Each of the last three portal statuses asks the customer to contact you if they still need help.
Mark a lead as lost
- Open the order.
- Press the status button at the top left.
- Pick the lost status.
- Press SAVE.
Or tick several orders on the Orders list and use Change status.
What isn't "lost"
- Cancel is for a move that was reserved or booked and then called off. A lead that never booked can't be cancelled — MoveBoard says "Only a reserved or booked order can be cancelled. For a lead that did not book, use Dead Lead or Not Interested."
- New Lead Past means the requested date has passed. The lead is still open; call the customer about a new date.
- Archived takes an order out of sight altogether. It's for admins only and isn't counted as lost.
What happens next
- The truck is freed. A lost order gives back any truck it was holding, and the Order Log says which trucks were removed.
- Messages. Moving a lead to We Are Not Available or Expired can send the customer the message your company set for it, in Settings › Communication › Templates or Workflows.
- Reports. The Lost Leads report shows lost leads by reason, with the value they would have booked. The dashboard's lost-leads count uses the same five statuses.
Leads that come back
A lost lead isn't locked. If the customer comes back, open the order and move it to New or Follow Up — or let them request a new move from their portal. See Returning customers and their history.
