Quotes that expire

How MoveBoard closes quotes that ran out of time — Can Book Online quotes, quiet quotes, and leads whose move day has come — and how to set each rule.

A quote shouldn't stay bookable forever — your prices and your trucks change. MoveBoard closes old quotes on its own, by the rules you set per move type in Settings › Sales & orders › Expiration rules.

Can Book Online quotes, the day before the move

Card Quotes the customer can book online.

A quote still in Can Book Online the day before its move stops being bookable once Expire after has passed — an hour from 2 PM to 8 PM on the day before. The order goes to New Lead Past, so you can call the customer and decide whether you can still do it.

  • Which jobs expire — All, or only Morning jobs.
  • Morning jobs start up to — the latest start (8 AM to 12 PM) that counts as a morning job.

Quotes with no activity

Card Quotes with no activity.

A Can Book Online quote goes to Expired after Expire after this many days (2 to 14). Pick Never to keep them open.

Leads whose move day has come

Card The night before the move.

A lead nobody booked or reserved — New, New-Info, New-Date, New-Truck, Follow Up or Can Book Online — becomes Expired or New Lead Past once its move day arrives. Pick which under At midnight, a move tomorrow becomes.

After a customer changes their move

Card After a customer changes their move decides what happens when the customer edits their move on the portal:

  • Send it to New-Info so the office checks it
  • Let them keep booking when their truck is still free
  • Always let them keep booking

What happens next

  • The Order Log gives the reason, for example "Expiration Rule: Move not Booked/Reserved on current business day." or "Expiration Rule: Status changed because user was inactive for 14 days."
  • The truck is freed on an Expired order.
  • The customer gets whatever your company sends for Expired or New Lead Past, in Settings › Communication › Templates or Workflows.
  • The office gets the Order status changed notification, if you've switched it on.
  • Booked, reserved and completed jobs are never touched.

Postponed moves

Settings › Sales & orders › Postponed orders can cancel a move that has stayed Postponed too long: Automatically cancel postponed orders after 1 month, 2 months, 3 months, 6 months, 1 year — or Never (the default).

When it happens, the order goes to Cancel, the log says "… changed status to Cancelled automatically: postponed on Sep 29, 2026, 3 months passed.", and the salesperson and your admins are told. The customer gets your cancellation message, if you send one.
