On an interstate move, the customer can ask to be told the actual weight and charges before delivery. If they do, the notice must reach them at least one full day before delivery — Saturdays, Sundays and holidays don't count (49 CFR 375.521). Delivery on Monday means the full day is Friday, so the notice goes by Thursday.
Before you start
The shipment must be weighed: the crew records the scale weights on the long-distance bill of lading. Until then, the send buttons show Not weighed yet.
Record the request
- Open the trip and go to the Schedule tab.
- In the Weight & charges (375.521) column, tick Asked on the order's row. #1234: the customer's request is recorded.
The column then shows when it is due — By Thu, Oct 8 — in grey, then yellow when it is due, and red Overdue once the day has passed. No delivery day yet means the order has no planned delivery on the trip.
Send it
Once the shipment is weighed, press Email or Text beside the tick. MoveBoard writes the notice from the bill of lading: the net weight, the charges, the balance and the planned delivery. The email's subject is Your shipment's weight and charges (order #…).
The column turns green Sent, and the notice is listed under Customer messages and notices on the Schedule tab and kept on the order.
Early delivery to storage (375.607)
A related notice: if a shipment could be delivered more than 24 hours early and the customer can't take it, you may hold it in storage at your own expense, and tell the customer at once where it is. That notice is sent from Trips › SIT with Early-delivery notice… — see Storage in transit.
If something goes wrong
- The shipment is not weighed yet: record the weighing on the bill of lading first.
- The order has no long-distance bill of lading yet.
- The notice could not be sent (…). Tell the customer another way.
- The Email button is greyed when the order has no email, Text when it has no phone.
