The Trip Planner

Where long-distance trips are planned, followed on the road and closed — the board, Needs Attention, and the pickups and deliveries waiting for a trip.

The Trip Planner is where your long-distance orders are put on trips: one truck (or several) leaving on a date, picking up and delivering several orders along a route. Open it from Trips in the menu. You need the permission to see the Dispatch tab.

Which orders come here

The top of a long-distance order's Move Details says who does each half of the move:

  • Pickup by: Local crew / Trip Planner — Local crew is your daily schedule (Dispatch). Trip Planner means your long-distance truck picks it up on its trip — for example your Boston truck picking up a job in California.
  • Delivery by: Local crew / Trip Planner (on the Delivery tab) — Local crew keeps the delivery on your Dispatch board; Trip Planner plans it on a trip.

New long-distance orders start with what Settings › Long distance › New long-distance orders says — whether the order is made with New Lead or + New, from your website forms, the client portal, the AI receptionist or an import, and when an order's service is switched to long distance. Nothing set there: Local crew for both. Orders already made keep theirs.

When the Trip Planner picks the order up, it delivers it too: Delivery by switches to Trip Planner by itself and can't be changed until you set Pickup by back to Local crew.

Pickup by: Trip Planner

  • Booking needs no local truck. The order is booked or reserved without a truck, a start time or a crew from Dispatch, and any pickup truck it had comes off when you save.
  • It is not on your local schedule: not on the Dispatch board, not on the order's schedule strip, not on the Calendar's truck lanes, and your local crew gets no job for it. Dispatch refuses a pickup crew or truck on it and says why.
  • It always has a pickup spread — the days the truck may come. Settings › Long distance › Pickup spread fills it from the move date (for example 3 days: Oct 14 – Oct 16); with nothing set, both days are the move date. Change one order's spread in its window (Delivery tab, Pickup spread · Change). The customer sees it on the estimate, the order for service, the bill of lading and the client portal.
  • Once Booked or Reserved, it waits on Pickups to plan.

Pickup by: Local crew, Delivery by: Trip Planner

Your local crew picks it up on the daily schedule (the order needs its pickup truck to be booked, as any local job). The trip then loads it at your warehouse: adding it to a trip makes a Warehouse out stop at your first storage facility, not a stop at the customer's house, so the pickup is never planned twice. When your crew loads straight into the trip truck at the house, tick Loaded straight into the trip truck on the order's Delivery tab: the trip then keeps the pickup stop at the house, and the trip sends no "driver on the way" message for it (your local crew's messages already go).

To move a delivery that is already on a trip back to Local crew, take it off the trip first (open the trip, Orders, the bin button, SAVE); the same goes for setting Pickup by back to Local crew while the order's pickup is on a trip. Until then MoveBoard refuses the switch and says which trip it is on. Pickup by: Trip Planner is refused while a local pickup crew is assigned in Dispatch — take the crew off first.

The lists to plan

Under the trips, three tabs list the work waiting for a trip. Each has a search box (order number, customer, phone, email, city, state or ZIP) and Filters: pickup dates, a day the delivery spread holds, origin and destination state, cubic feet, weight, balance and branch.

  • Pickups to plan — booked or reserved orders with Pickup by: Trip Planner that are not on a trip yet.
  • Deliveries to plan — orders waiting for a delivery trip: picked up by your local crew with Delivery by: Trip Planner, orders in storage in transit ready for delivery (with a purple warehouse mark and their days in storage — including those a trip picked up and put into the warehouse), and parts of split shipments.
  • Other companies' loads — loads you carry for other companies.

The trip's Add Orders has the same Pickups to plan and Deliveries to plan tabs.

Loads you haul for other moving companies have their own list, Other companies' loads (see Other companies' loads): they are not your orders, and they are settled on that company's folio in Carriers & Agents.

The board

The page has four tabs: Trips, SIT, Carriers & Agents and Trailers & settings. On Trips:

  • Needs Attention at the top counts every trip's warnings by colour — red, orange and yellow. Press a colour to see only those warnings; press one to open its trip. Show all puts every trip back.
  • Active trips are the trips on the road (In Transit).
  • Upcoming trips are the ones still being planned or scheduled.
  • Completed trips are finished or settled.

Each row shows the trip number and name, its status (with "6 of 11 stops" while on the road), departure and estimated return, driver, crew, truck, trailer, jobs, miles, weight and cubic feet, how full the truck is at its busiest point, and the trip revenue. Not assigned in orange means the trip has no driver or no truck yet. On a phone each trip is a card.

Press a row to open the trip in its own window — like an order window, several can be open at once and you can put them away in the bar below.

What turns up in Needs Attention

Red:

  • a planned delivery outside the delivery spread the customer was promised
  • a truck over capacity at a stop
  • an exclusive-use order sharing the truck
  • an overdue storage-in-transit notice

Orange:

  • a planned pickup outside the pickup spread
  • no driver, or no truck
  • a day planned past the driving-hours limits
  • a delivery date that moved with no delay recorded

Yellow:

  • a delivery date not confirmed with the customer
  • a storage-in-transit notice due soon
  • an expense with an amount but no receipt

These are worked out from the trip as it is planned; they never stop you saving.

Start a trip

Press New Trip, give it a name (for example "Boston → Florida Run"), and if you know them the Departure date and Estimated return. Press Create trip: the trip is made and its window opens so you can add orders, the truck and the driver. See Create a trip and add orders.

If something goes wrong

  • That trip is not here any more. — it was deleted, or it belongs to a branch you don't work in.
  • Someone else saved this trip a moment ago. Close it and open it again to see their changes. — two people had the same trip open; yours wasn't saved.
