When a long-distance shipment can't go straight from pickup to delivery, it waits in a warehouse. MoveBoard tracks every such stay on Trips › SIT, grouped by warehouse, with the soonest notice first.
Two kinds of stay
- Carrier hold (not billed) — the carrier's own wait, for its convenience. The customer isn't charged. After a pickup, an order that isn't delivered on the same trip goes into the warehouse as a carrier hold automatically.
- Billable SIT — storage the customer pays for. It runs on a clock: 180 days unless you change Billable SIT period, days on Trips › Trailers & settings. When the clock runs out, the shipment turns into permanent storage and the carrier's liability as a carrier ends.
Put a shipment in SIT by hand
- Open Trips › SIT and press Put in SIT.
- Pick the Order (booked long distance), the Kind, Where on the route (origin, en route or destination) and the Warehouse.
- Fill in the Move-in date, Planned move-out, weight, cubic feet, rooms, Foreman, Blankets and any lots or containers.
- Press Save.
Actions on each row
- Make billable SIT — turns a carrier hold into billable SIT from its date in. The order's log notes when it converts and when the notice goes out.
- Send notice now — sends the conversion notice before its day.
- Bill SIT… — puts the stay's days on the order's long-distance bill of lading, priced from the tariff's SIT rates (first day, additional days, handling, delivery out). Press Put on the bill of lading. If the tariff has no SIT rates, it says so: the order's storage charge is the bill's storage line.
- Schedule delivery out — pick the planned day and tick it ready: the order goes on the Trip Planner's Deliveries to plan list (with a purple warehouse mark), ready for a delivery trip. Once it is ready the button reads Delivery out….
- Partial out… — deliver part now and the rest later. The part going out waits for a delivery trip; the rest stays until you press Deliver the rest.
- Early-delivery notice… — for a carrier hold that could have been delivered more than 24 hours early: tells the customer at once where the shipment is held, at your expense (49 CFR 375.607). Press Send now.
- Convert to permanent storage… — once the notice has been sent: makes a storage tenant in the customer's name with a Monthly storage rate. Press Convert.
- Open — the stay's record.
The conversion notice
Before billable SIT turns into permanent storage, the customer must be told in writing — at least 10 days ahead, or 1 day ahead when the SIT period is shorter than 10 days (49 CFR 375.609). MoveBoard sends it by email on its day and keeps the record. Three days before, the order's sales person gets a task, so nobody is surprised. If the notice can't go (no email on the order), the task asks the office to send it another written way.
The notice column shows Not due yet, Due soon, Due today, Overdue or Sent with the date and how.
On the order
The order's Delivery half shows the stay: the kind, the warehouse, the day count, when billable SIT converts and the notice's state — and Make billable SIT for a carrier hold.
