Carriers & Agents is a tab of the Trip Planner: open Trips, then Carriers & Agents. It lists every company you hand work to or take work from, with their roles, contact, MC and USDOT numbers, rate per cubic foot, how many orders they are on, and their status.
Add a carrier or agent
- Press Add carrier or agent.
- Fill in Name, Contact person, Contact person phone, Email, Zip, City, State and at least one phone under Phones (all required), and anything else you have: Website, Per cubic foot ($), Address, ICC MC number, USDOT number, Notes. Typing the Zip fills City and State; when the ZIP covers several towns, press the right one under the box.
- Pick their Roles: Carrier, Booking agent, Origin agent, Hauling agent, Destination agent — as many as apply.
- Add Agreement starts, Agreement ends and Insurance expires if you track them.
- Press Save.
Untick Active to keep a record you no longer use; inactive records are greyed and can't be picked for an order. Press a row to open and change a record; Delete is at the bottom of an open record.
The Status column turns orange when the insurance or the agreement runs out within 30 days (Insurance expires soon, Agreement ends soon) or has already (Insurance expired, Agreement ended).
Put one on an order
- Open the trip, then the Orders tab.
- On the order, press Carriers & agents.
- Pick the Carrier or agent and the Role.
- For a Carrier or Hauling agent, type the Carrier cost, $ (goes on its folio) — MoveBoard fills it from the order's cubic feet times their per-cubic-foot rate when they have one. For the other roles the Agreed amount, $ (optional) is just kept with the order.
- Press Put on the order. This is saved at once (it doesn't wait for the trip's SAVE).
Take off beside a name removes them from the order.
To hand a whole trip to one carrier, pick it under Hand-off carrier for the whole trip (optional) on the trip's Overview tab and save.
The folio
With Can see trip profit and settlements, each row has a Folio: every money line with that carrier or agent, oldest first, with the running balance. The top says the net plainly: We owe them …, They owe us … or Settled up.
MoveBoard writes these lines itself:
- the carrier cost of an order you put them on;
- an owner-operator's trip settlement when it is sent;
- for a load you hauled for them (see Other companies' loads), when it is delivered: Haul of their load (they owe us) and COD we collected for them (we owe them).
Press Add a line for the rest:
- Charge from them (we owe)
- Charge to them (they owe us)
- Payment we made
- Payment we received
Each line takes an Amount, $, a Date, and optionally a Check / reference, a Trip # and a Note. Print statement prints the folio to send them.
If something goes wrong
The form marks each field it can't take, for example Name is required, Contact person phone is not a valid phone number, At least one phone is required, Pick at least one role, or The agreement ends before it starts. A folio line refuses Type the amount (more than $0).
