Other companies' loads

Haul a load for another moving company on your trip, collect its balance at delivery, and let MoveBoard settle it on that company's account.

When another moving company asks you to carry one of their jobs on your truck, add it as another company's load. It is its own small record, not one of your orders: it never shows in sales, customers, leads, the orders lists or reports, and MoveBoard never texts or emails its customer (they are the other company's customer; the driver calls).

You find the loads on the Trips page, under Other companies' loads.

Before you start: the company must be in Carriers & Agents

The company you haul for is always picked from Carriers & Agents (their name, contacts, MC and USDOT numbers, and their rate per cubic foot). If they are not there yet, press + Add a company on the load: the Carriers & Agents form opens, and the new company is picked for you when you save it.

Add a load

  1. Press New load from another company.
  2. Pick the Company (from Carriers & Agents). The Rate per cu ft, $ fills in from the company's rate.
  3. Type Their job #, the Customer name and Customer phone.
  4. Type the Pickup address, or tick Already at our warehouse / dock when they bring it to you.
  5. Type the Delivery address.
  6. Pick the pickup spread (first day, last day) and the delivery spread.
  7. Type the Estimated cu ft (the weight fills in at 7 lb a cu ft unless you type it).
  8. Type the Balance the driver collects at delivery (COD), $ and, if they took one, the Deposit they already took, $ (so the driver can explain it to the customer).
  9. Press Save.

Amount we charge them, $ shows cu ft × rate. Leave it empty to use that, or type an agreed amount. The box at the bottom shows what you charge, what the driver collects for them, and the net.

After saving, open the load again to add their bill of lading or inventory under Their paperwork. The driver sees these files on the trip.

Put it on a trip

Press Add to a trip on the load and pick the trip. Its pickup and delivery stops go on the route (or out of our warehouse when it is at your dock), and its cu ft, weight and the amount you charge count on the trip: in the capacity, the stops, the map and the trip revenue. You can also add it from the trip window with Add Orders: it shows as Load for the company.

To take it off, open the trip, then Orders, and press the bin beside the load, then SAVE.

At pickup and delivery

  • Pickup: when the driver (or the office on the trip's Overview) presses Done, MoveBoard asks for the actual cu ft loaded. What you charge is worked out again on the actual cu ft.
  • Delivery: the stop says collect $… before unloading. When Done is pressed, MoveBoard asks what was collected from their customer and how (Cash, Check or Other).

How it is settled

When the load is delivered, two lines go on the company's Folio in Carriers & Agents by themselves:

  • Haul of their load (they owe us): what you charge them.
  • COD we collected for them (we owe them): what the driver collected from their customer.

The folio then reads the net plainly: They owe us $… or We owe them $…. Record their payment (Payment we received) or yours (Payment we made) with Add a line and it reads Settled up. If a number is corrected later (the actual cu ft, the amount, a delivery reopened), the two lines follow it; they are never written twice.

If something goes wrong

The form marks what it can't take, for example Pick the company from Carriers & Agents, Customer phone is not a valid phone number, Pickup address is required (or tick: already at our warehouse) or Type the estimated cu ft. Delete this load is only there while the load is on no trip and not picked up.
