Create a trip and add orders

Make a trip, put long-distance orders on it, and give it its truck, trailer, driver and crew — then save.

A trip is planned in its window: you add the orders, the trucks and the people, check the route and the capacity, then press SAVE. Nothing you type in the trip window is kept until you save.

Before you start

  • The orders must be long-distance orders with Delivery by: Trip Planner (or Pickup by: Trip Planner) in the order's Move Details, and Booked or Reserved.
  • Your trucks come from Settings › Dispatch › Trucks; trailers are added under Trips › Trailers & settings.

Make the trip

  1. Open Trips and press New Trip.
  2. Type the Trip name. Add the Departure date and Estimated return if you know them (you can add them later).
  3. Press Create trip. The trip opens in its own window, in Planning.

Add the orders

  1. Press Add Orders (in the window's top bar, or on the Orders tab).
  2. The list has two tabs. Pickups to plan: orders your long-distance truck picks up (Pickup by: Trip Planner) not on a trip yet. Deliveries to plan: orders your local crew picks up with Delivery by: Trip Planner, orders in storage ready for delivery, and parts of split shipments. Type in the search box at the top to find one: the order number (RES-88, or just 88), the customer's name, phone or email, or a pickup or delivery city, state or ZIP. Every word you type must match. Open Filters to narrow it further: pickup dates, a day the delivery spread holds, how many miles off the route, origin and destination state, order status, branch, weight, cubic feet, revenue and balance.
  3. Press Add to Trip beside an order. Under each order MoveBoard says which stops it gets: - Pickups to plan: the pickup at the customer's house, then the delivery when Deliver on this trip is ticked (it starts ticked when the delivery spread fits the trip's dates). Untick it and the trip unloads it at your warehouse instead (Warehouse in): it waits there as a carrier hold and moves to Deliveries to plan for a later trip. - Deliveries to plan, picked up by your local crew: Warehouse out at your warehouse, then the delivery — unless the order is ticked Loaded straight into the trip truck, when the trip stops at the house. In storage: out of the warehouse, then the delivery.
  4. If MoveBoard sees a problem it asks Add #… anyway? and lists why — for example the delivery spread ends before the trip leaves, the order may not fit on the truck, the pickup spread is outside the trip's dates, it is far off the current route, or it is exclusive use and the trip already carries other orders. Press Add to Trip to add it anyway, or close the question.
  5. Close the list and press SAVE.

Each order added gets its stops on Route & Stops, placed inside its spreads. Orders of another branch can go on the same trip; they show their branch name.

Give it a truck and a driver

  1. Open the Crew & Equipment tab.
  2. In the first box pick Truck, Trailer, Driver, Co-driver or Crew; in the second pick who or which; press Add.
  3. A truck or trailer comes with its capacity from your fleet. You can change the cubic feet and pounds for this trip only.
  4. Press SAVE.

If a truck or person is already on another trip or a local job at the same time, MoveBoard lists it under Clashes (a warning, not a block). You can still save.

On each order on the trip

On the Orders tab every order shows its pickup and delivery against its spreads (red when outside), its weight, cubic feet and total, and:

  • Exclusive use — the order takes the whole truck.
  • Space reserved — cubic feet held for this order whatever it measures.
  • Delivery date confirmed with the customer — until ticked, Needs Attention reminds you.
  • Split between trucks — when the trip has two or more trucks or trailers, share the order's cubic feet and pounds between them, then Use this split.
  • Split across trips — carry part of the order on this trip and the rest on another. This one acts at once, so save the trip first; Undo the split across trips puts the parts back together while no other part is on a trip.
  • Carriers & agents — see Carriers and agents.
  • The bin button takes the order off the trip.

If something goes wrong

  • Give the trip a name.
  • The estimated return is before the departure.
  • A truck or person is on the trip twice.
  • Pick the person, or type their name.
  • Save the trip first: the split acts at once.
  • No order matches. in the Add Orders list — only booked or reserved long-distance orders set to Delivery by: Trip Planner (and orders in storage ready for delivery) can go on a trip. Check the order's status, its Pickup by / Delivery by, the tab you are on, and clear the search and the filters.
  • "1 booked long-distance order matches, but cannot go on a trip" — Add Orders names each booked or reserved long-distance order that fits your search and filters but cannot be added, and why: its Delivery by is Local crew (new orders start with what Settings › Long distance › New long-distance orders says, Local crew when nothing is set — press Open #…, in Move Details choose Delivery by: Trip Planner, and Save; the order then shows in the list at once), or it is already on another trip. The Origin state and Destination state boxes are empty until you type a state ("Any state").
