Storage

The Storage page

Your warehouse at a glance — who is in storage, who moves in or out today and tomorrow, what it brings in and who owes money.

Storage in the menu is where you run the warehouse: every storage tenant, their monthly fee, what they owe, and who is coming in or going out.

Before you start

You need the Can see storage tab permission (company admins always have it). Without it, Storage is not in your menu.

Across the top

The four figures under the title are for the whole company:

  • In storage — tenants in storage now, with their cubic feet and how many are moving in.
  • Every month — what the warehouse brings in each month.
  • Charges due — monthly charges due in the next two weeks.
  • Owed — what tenants owe, and how many owe it. "everyone is square" means nobody does.

When you have more than one warehouse, the Warehouse chips (All facilities or one facility) narrow the Dashboard and Past due tabs to it. Point at a facility to see its tenants, cubic feet and late fee.

The five tabs

Dashboard

  • Six tiles: Moves in today, Moves out today, Total jobs in storage, Total cubic feet in storage, Moves in tomorrow, Moves out tomorrow.
  • Job revenue — storage takings for each of the last twelve months, with the Monthly estimated income beside the title.
  • Aging — what is past due, split by how old it is (0–30, 30–60, 60–90 and 90+ days). Press Past due above it to open that tab.
  • Moves in and Moves out — today's and tomorrow's tenants, with their order and monthly fee.
  • Needs attention (top right) — tenants who need you: a declined card, a missed billing day (nothing was charged), a monthly charge not set to stop when they leave, a tenant past their move-out date still marked in storage, tenants who owe money, and tenants with no signed storage agreement. You can dismiss a line.

Tenants

The full list, one tenant per row. The View list picks which tenants you see: Future Moves In, Storage Tenant (the starting view), Future Moves Out, Moved Out or Archived. Type in Search for Storage Tenants... to look across every view at once.

  • Columns include ID #, Status, Order #, Flags, Name, Email, Phone #, A Volume (actual), B Volume (billable), Monthly Fee, Move In Date, Move Out Date, Recurring and Balance Due. Click a column title to sort.
  • The arrows in Recurring turn slowly while auto-billing is running and stand still in grey when it isn't. Point at them for the reason ("Auto-billing is paused", "Billing is not started"…).
  • Only the ones who owe shows just tenants with a balance.
  • Double-click a row to open the tenant's window.
  • Add Storage Tenant (in the Future Moves In and Storage Tenant views) starts a new tenant at your default facility.
  • Tick rows to use Action for selected items — see Bulk actions on tenants.

The list refreshes itself every 30 seconds; Refresh does it now.

Storage payments collected

Every storage payment in a period. Pick This month, Last month, Last 90 days or This year, or type your own dates, and narrow the list by its filters.

Storage aging

Every tenant who owes, with how old each part of the debt is, and the Total overdue for everyone.

Past due

Each tenant with unpaid storage bills: Storage Tenant, Customer, Unpaid Bills Count, Total Overdue. Retry Payment opens a pop-up for the whole amount due, where you can charge a card on file (the autopay card is marked Auto pay card) or a new card. Charging needs the Can charge an online payment permission.

If something goes wrong

  • Add Storage Tenant is greyed out with "Please set up default storage facility in settings" — pick a default facility in Settings › Storage › Facilities. See Facilities.
  • "You do not have permission to take a card payment" — ask your admin for Can charge an online payment.
  • The payment was not taken — the card was declined or the processor refused it; the reason is shown. Try another card.
