A moving-and-storage customer has two orders — the move into storage and the move out — linked to each other. They are still one customer, so they hear from you once, not twice.
What the customer gets
| Message | For the pair |
|---|---|
| Welcome (new customer, or returning customer) | One, from the move in |
| Quote email for the new lead | One, from the move in, showing both quotes — each with its own Book button |
| Follow-ups: the No activity reminder and the order status reminders (Automation timeline) | One per pair, from the move in |
| Workflows timed from Order created or Last activity | One per pair, from the move in |
| Booked reminders (1 and 5 days before the move), the after the move message, Reserved reminders, status messages | Per order — each move has its own date and is booked on its own |
When you press Create a move out on the move in (or switch an order to Moving & Storage), the new move out shows up for your team as a new lead, as always — but the customer gets no welcome, new-lead or quote message for it. They already had them from the move in.
A quote you send by hand from either order (for example Send quote on the move out) goes as before.
The welcome's added line
The default welcome email and text say, for a moving-and-storage customer:
> Your move into storage is on Wed, Oct 28, 2026. Your move out of storage is planned for Mon, Jan 11, 2027. Each move is booked separately — you'll get a booking link for each.
For every other customer the line is simply not there.
Your own welcome templates keep your words. To add the line to yours:
- Go to Settings › Communication › Templates and open your welcome email (or text).
- Press Variables and pick Order storage pair note. Put it where the line should go — for example just above the button.
- Press Save. Check it with What they see on a moving-and-storage order.
The quote email for the pair
The move in's new-lead quote email adds a box for the move out: Your move out of storage, its order number, the planned date, its estimated quote and a Book your move out button that opens the move out in the customer's portal. If your template has the Linked order quote variable, the box goes where you put it; otherwise it goes right below the email's own button to the quote.
The variables
All of them are empty for an order that is not part of a moving-and-storage pair, so they can stay in any template.
| Variable | What it fills in |
|---|---|
| Order storage pair note | The welcome's added line (above) |
| Order storage move in date | The move into storage's date |
| Order storage move out date | The move out of storage's date |
| Linked order number | The other order's number (on the move in: the move out's) |
| Linked order move date | The other order's move date |
| Linked order estimated quote | The other order's estimated quote |
| Linked order short link | The customer's own link to the other order, to book it |
| Linked order quote | The other order as a box with its own Book button |
Aim a workflow at one side
In Settings › Communication › Workflows, Only if has Storage stage under Storage: Move into storage, Move out of storage or Not a storage move. For example, "Storage stage is not Move out of storage" keeps a workflow to one message per pair.
If something looks wrong
- A customer still got two welcome emails: check Settings › Communication › Workflows for a workflow of your own on a new-lead moment that sends a welcome. Workflows on the move out's new-lead moments are skipped for the customer, and the run log says "this order is the move out of storage — the customer heard about the move from its move in".
- The move out never got a follow-up: follow-ups go once per pair, from the move in. If the move in is deleted, the move out gets its own again.
