Monthly storage billing

How MoveBoard bills each storage tenant every month, charges the autopay card, adds late fees and reminders — and what happens to a missed billing day.

Every storage tenant with recurring billing turned on is billed once a month, on their Next Run date, by MoveBoard on its own. You only step in to start, pause or move a tenant's billing — or when something could not be billed.

What happens each night

MoveBoard works through the day on your branch's clock, in this order:

  1. Price increases (early morning) — any increase in the tenant's pricing that is due today is applied to their rate, once.
  2. Status — a tenant whose billing end date is today stops being billed and becomes Future Moves Out, waiting for you to confirm the move out.
  3. Billing (from 6 AM) — for each tenant whose Next Run has come: the month's charge (part of a month on the first or last period, nothing in a free month), plus tax and bulky items, as a storage bill. If the tenant owes money and has an autopay card, that card is charged everything they owe — not just this month. Then Next Run moves on a month.
  4. Late fees — a storage bill still unpaid exactly the facility's late-fee days after it was due earns the late fee, as its own bill.
  5. Reminders — the facility's reminders go to tenants who owe, on the days you set.

When billing starts on its own

When a move-in job is completed and the crew had the storage agreement signed on the day you chose as the storage billing day, MoveBoard starts the tenant's recurring billing from that day. If the storage was included in the moving quote the customer already paid, that first month is recorded as paid.

Start, pause or resume it yourself

In the tenant's window, on the Billing & Recurring card:

  1. Set Date Started and Next Run (and an End Date if you know when they leave).
  2. Press the play button (Start Billing, or Resume after a pause). It acts at once — no SAVE needed.
  3. To stop it for now, press Pause Billing and confirm. MoveBoard warns: "You are about to pause the recurring billing. Do you wish to continue? You will need to manually restart the billing."

Billing: under the dates says where it stands, and the arrows turn slowly while auto-billing is running.

A missed billing day

If a billing day passed without a bill (an outage, a tenant with no customer or no settings), MoveBoard catches up the next hour, for days up to a week back. Anything older is left for you to decide: nothing is charged and no date moves. It shows on the Storage page's Needs attention ("…missed their billing day — nothing was charged"), and your branch's admins get one task listing the tenants. Open each tenant and either take the month's payment by hand from the Ledger, or move Next Run.

If something goes wrong

The play button refuses with a Warning when:

  • "Please select a date started to start recurring billing."
  • "Please select a next run date to resume recurring billing."
  • "Next run date cannot be in the past. Please select a date in the future for your next scheduled billing."

A Next Run shown in red has already gone by.
