Long-distance bill of lading

On a long-distance job, fill in the bill at pickup — services, valuation, weights from the scale ticket, signatures — and at delivery, then submit each leg.

A long-distance move has two legs — pickup and delivery — and a bill of lading that follows the shipment from one to the other.

Which bill your company uses

Settings › Documents & bill of lading › Bill of lading › Long-distance bill of lading chooses one, for every long-distance job:

  • Use our bill of lading — your company's own bill, filled in like a local one (see Stop times and customer signatures), with a Payment section to take payment.
  • Use MoveBoard's federal long-distance bill of lading — the bill described here.

On your company's own bill, the long-distance words Total material and Packing:, Total Additional Services: and Fuel Surcharge are taps: each opens the same editor the local bill has — packing materials, additional services and other fees, or the fuel surcharge (Company Setting, Percent of Moving Charges or Money Amount). What you add is on the bill at once. The Summary of charges shows what was collected at pickup and at delivery, each payment on the leg it was taken on, with what is due on each.

The line haul is priced exactly as on the order — the same tariff row for the distance and the same weight column — and the bill says what the rate is per (for example "4375 Lbs @ $35.39 per 100 Lbs"). Only a size the crew measured on the day changes it, looked up the same way.

Either way there's one Bill of Lading tile on the job. On a trip, a customer's pickup or delivery stop also has a Bill of lading button that opens it for the trip's driver and crew (they don't need to be foremen). When the trip carries the delivery, the delivery half is signed by the trip's driver and crew and by office users who can edit the bill — not by the local crew that picked it up.

Estimated weight, Net scale weight (or Not weighed), Estimate, Charges on actual weight (after weighing), and Collect at delivery. Switch between At pickup and At delivery.

At pickup

  1. Pickup and delivery — check the addresses and dates.
  2. Services ordered — set the extra services from your tariff.
  3. Valuation declaration — the customer's choice, and their signature (Shipper — valuation declaration).
  4. Signatures before loading — Shipper at pickup and Carrier (driver) at pickup.
  5. Weight ticket — pick Origin weigh or Back weigh, then type the Tare and Gross (loaded) in pounds; the Net weight works itself out. Add the Scale, Scale location, Weighed on, Vehicle and Weigh master (signed the ticket), and press Photograph the weight ticket.
  6. Packing, services and fuel — Packing materials, Additional services and Fuel surcharge open the same editors as the local bill; press Done and the bill re-prices.
  7. Payment at pickup — what's been received and the forms of payment.
  8. Press SUBMIT PICKUP.

At delivery

  1. Actual weight — the tare, gross and net, and whether the ticket is on file. If the customer asks, add a Re-weigh.
  2. Services performed — what you actually did, and SIT days (storage in transit).
  3. Packing, services and fuel — add or change packing materials, additional services and the fuel surcharge, as at pickup.
  4. Charges per our tariff — re-rated on the net weight, beside the estimate.
  5. Payment — Total owed, Received, and Collect at delivery; what isn't collected now is billed after 30 days.
  6. Signatures at delivery — Shipper at delivery and Carrier (driver) at delivery.
  7. Press SUBMIT DELIVERY.

Once a leg is submitted, it says Pickup submitted (or Delivery submitted) · the signed bill is filed, and that leg's signatures can't be changed.

Full bill of lading opens the whole document, with the terms and conditions, to print or save.

Signal

Every change is kept on the phone and sent behind you — Offline — will sync shows while anything waits. Submitting needs signal: Submitting needs a connection. Submit once there is signal.

If something goes wrong

  • Some changes are still waiting to be sent. Submit once they are saved (the signal is back).
  • The submit got no answer in time. Check the signal and try again; a bill already filed is never filed twice.
  • The bill of lading was already submitted.
  • The pickup was submitted, so its signatures can't be changed.
