Submitting the bill of lading finishes the job. After it, the bill is locked, the job is Completed, and the customer's signed copy goes out.
Before you submit
- Every required signature is given — times, valuation, payment and the final signatures.
- The payment is taken, if the customer pays on the day (see Take payment on the bill).
- Add any comments about the move in the box at the end of the contract ("Enter comments about the move, special instructions, or any additional notes…" — up to 1,000 characters).
- If the goods are going into storage, the storage agreement must be signed first — the last labor signature waits for it.
- Documents your company needs signed before a step open by themselves when you reach that step (for example "Must be signed before taking payment"). Extra pages of the bill are signed right on the page.
- Every document your company needs signed before a step must be signed before you submit — even when you skipped that step (for example no payment was taken). If one is still unsigned, SUBMIT opens it first; once the customer signs it, the submit goes on by itself. On a long-distance SUBMIT PICK UP, only documents set before a delivery signature can wait for the delivery.
Submit
Your company chooses how (Settings › Documents & bill of lading › Bill of lading rules, Submit Contract by):
- Submit Button — press SUBMIT CONTRACT at the end of the contract. On a long-distance job it's SUBMIT PICK UP at pickup and SUBMIT DELIVERY at delivery. If a required signature is missing, the button scrolls to it and outlines it.
- Signatures — the customer's last signature submits it. MoveBoard warns first: Once this signature is signed, the contract will be completed and closed.
While it finishes you'll see Your Bill Of Lading is being finalized and we ask that you please wait until the process is completed, then Your contract was submitted successfully, and your phone goes back to the jobs list. It takes about a second.
What happens next
- The job moves to Completed and leaves your New jobs (it's under Past, if your company shows it).
- The signed bill of lading is filed on the order and sent to the customer automatically.
- The office's closing for the job and the crew's payroll are worked out.
- On the Dispatch board the job turns blue (Completed).
After it's submitted
On a long-distance job, SUBMIT PICK UP freezes the pickup part only: the bill moves on to the delivery, and the DELIVERY ACKNOWLEDGEMENT signatures open for the delivery. When the delivery has its own crew, its foreman signs them; when the delivery is planned in the Trip Planner, only the driver or crew of the trip carrying it signs them, from the trip's Bill of lading button (the pickup foreman doesn't, unless they are on that trip). Office users allowed to edit bills of lading can always sign.
After SUBMIT CONTRACT (or SUBMIT DELIVERY) the bill is frozen — nothing on it can be changed from the phone. If something must be fixed, the office reopens the job from the order's closing (Completed ✓ → Reopen order). Whether that also lets the crew change the submitted bill and submit it again is set in Settings › Dispatch › Submitted bill of lading; when it is, the new bill replaces the old one.
No signal
Press submit anyway. You'll see No signal — the contract is saved on this phone and will be submitted when the signal is back. The phone sends it, after every change still waiting, as soon as it has signal — see Working with no signal.
If something goes wrong
- Still needed: … — the signatures named are missing; they're outlined on the bill.
- The contract could not be submitted. Please try again.
- Please sign the signatures in order
- “…” must be signed before … Have the customer sign it first. — a required document is not signed yet; it opens on its own.
