Size, inventory or custom volume

The three ways an order gets its cubic feet — the move size, the inventory or a custom volume — and which one prices the order.

Everything in an hourly quote starts from the move's size in cubic feet. An order gets it one of three ways. When the order has an inventory, the inventory's volume always wins over the Size of Move and Rooms. Between an inventory and a custom volume, the last one entered wins.

The CuFt/Lbs row on the Order card shows the size in cubic feet and pounds, with its source in brackets. While a change isn't saved yet, it says (not saved yet).

The move size

  1. On the Order card, pick the Size of Move (for example "2 Bedroom Apartment").
  2. Press Rooms to add or take off rooms — each adds its own cubic feet. The defaults for the size are ticked for you.

The sizes and rooms, with their cubic feet, are set in Settings › Pricing & calculator › Move Size.

To nudge the number, press the source in brackets beside CuFt/Lbs and type A custom cubic feet. On an order without an inventory that number becomes the move size; on an order with an inventory it is saved as a custom volume. The pop-up's Save the order saves the whole order.

When the order has an inventory, changing the Size of Move or the Rooms only changes those labels. The CuFt/Lbs stay the inventory's (still shown as (inventory)), and so do the crew, the trucks, the hours and the price. The size's own cubic feet apply again only once every item is taken off the inventory.

The inventory

When an inventory is entered or changed — in the office, with Create with AI, or by the customer in their portal — the order is priced by the inventory's cubic feet. The inventory can also raise the crew (a piano needs more hands) and add item fees.

To ask the customer for one, use Request inventory — see Send the inventory link. The link is offered only while the size comes from the move size or a custom volume.

A custom volume

  1. In the order window, open ⋮ and choose Settings.
  2. Under Calculate Cubic Feet results by, press Custom Volume.
  3. Type the Cubic Feet (the Pounds follow the Conversion ratio, or type them too).
  4. Press SAVE.

The same pop-up has Default (the move size) and Inventory (greyed until there is one) to switch back by hand.

Which one wins

  • A custom volume set, then an inventory entered or changed → the inventory takes over, and the custom number is cleared.
  • An inventory, then a custom volume → the custom volume takes over.
  • Saving an inventory that changed nothing keeps a custom volume.
  • A new Size of Move or new Rooms never replaces an inventory's volume, or a custom volume typed over it.
  • If the office empties an inventory, the order goes back to the move size (a custom volume stays if there was one).

Every switch is written in the Order Log, for example "Volume now from inventory: 322 cu ft (was custom: 400 cu ft)".

What a size change does

On an order without an inventory, a new size re-runs the calculator: the crew, the trucks, the hours and the rate follow your settings. On an order with an inventory, a new size changes nothing in the price. A crew or truck count you picked by hand stays — see Typed values vs calculated values.

If something goes wrong

  • "Please select a size of move" — the order has no size yet.
  • "A custom volume needs cubic feet above zero."
