Flat rate local moves

Quote a local move as one fixed price built from its size and distance, instead of hours times a rate.

A flat rate quote gives the customer one fixed price for a local move. Instead of hours × an hourly rate, MoveBoard multiplies the size of the move by your rate per cubic foot and adds a charge for the distance.

How the flat price is worked out

  1. Rate per cubic foot. Your Rate per Cubic Feet for the move type, plus what the stairs and the walk from the truck add per cubic foot, minus any volume discount per cubic foot.
  2. Linehaul Charge = the size of the move × that rate.
  3. Distance part = the distance × your Rate per mile, but only once the distance is past your Start charge from distance. On the quote this shows as Travel Time Charge.
  4. The flat price is the two added together. Fuel is added only if you switched it on (see below); then valuation, materials, services, fees, the discount and taxes follow as on any quote.

The distance is measured one of four ways, picked under How the distance is measured (A is the origin, B the destination, C your company address):

Set your flat rates

  1. Open Settings › Pricing & calculator › Flat rate (hourly moves).
  2. Pick the move type at the top (each move type has its own settings).
  3. Under Rates, type the Rate per Cubic Feet, the Rate per mile and Start charge from distance.
  4. Choose the way the distance is measured.
  5. Under Flat rate charge increase by elevation, type what each kind of stairs or elevator adds to the rate per cubic foot. Do the same under Distance to parking lot.
  6. Under Volume discounts, choose Flat Discount (an amount off the price) or Discount Rate Per Cubic Feet (a lower rate), then Add a row for each size: "for shipments over 800 cu ft, give a discount of…". Only one kind can be used.
  7. Under Quote details, turn on Add Calculated Fuel Surcharge to Flat Rate Price if the flat price should include fuel.
  8. Press Save. Copy to other move types fills the other move types with these values; they are saved with the next Save.

Quote an order as a flat rate

  1. Open the order.
  2. In Order Details, set Estimate Type to Flat Rate. This saves straight away and applies to every day of the order.
  3. The Move Details card swaps the hourly rows for Rate per size unit and Rate per distance. In Quote Details, Moving Charge becomes Linehaul Charge and Travel Time Charge.

The price follows the size and the addresses as you change them, just like an hourly quote.

Type your own figures

You can type over the Rate per size unit, the Rate per distance, the Linehaul Charge or the Grand Total. A typed figure shows in red, and the arrow next to it puts back the calculator's figure. A typed Grand Total replaces the whole price of that day; Remove manual changes clears the typed total and linehaul. Press SAVE to keep the changes. See Typed values vs calculated values.

Good to know

  • The flat rates in Settings › Services & packing › Flat rate service aren't used in prices yet. A flat rate quote always reads Pricing & calculator › Flat rate (hourly moves).
  • Long-distance flat prices are set separately, under Long distance › Flat rate long distance.
  • When the truck speed or the price calendar changes, open orders are repriced, but flat rate days are left alone because they don't bill by the hour. See When a settings change reprices orders.
