Some jobs are booked before you know which truck will go — they sit on the Unassigned truck, or have no time yet (TBD). The Job Assignments tab is where you put them on real trucks.
When you see the tab
Settings › Dispatch › Job assignments decides:
- Automatically (the default) — the tab shows only when your company uses the Unassigned truck (Allow Unassigned On Truck Schedule in Settings › Dispatch › Trucks).
- Always on — the tab always shows. Use this if you use TBD for arrival windows.
The number on the tab is how many jobs still wait for a truck.
Put a job on a truck
- Open Dispatch › Job assignments.
- TBD / Unassigned jobs on the right has a card for each truck a job still needs — 1 of 2, 2 of 2 when it needs two.
- Drag the card onto a truck row, at the hour the job should start.
The job starts where you let go, and its window runs by your company's arrival windows. On this tab you can drag a job from anywhere on its card (on the Dispatch tab only the six-dot handle drags). To take a job off a truck, drag it back onto TBD / Unassigned jobs.
The job's card
Click a job to open its card:
- Start window — press it to type an exact start and end.
- Priced for — movers and trucks from the quote.
- Truck held — the trucks the order holds; Pick trucks (or the pencil, once some are held) opens Trucks held for this job; tick them and press Save trucks.
- Going out in and Crew — the vehicle and people actually going.
- Arrival window — Tell the customer, or Sent — send again once told.
- The gear — the job's settings (Customer signs every stop; on a long-distance day, Total % of payment due at pickup).
- Open the order — opens the order window.
The end of each window is also a small list right on the card: pick a later end in half-hour steps.
Tell customers their arrival window
- The envelope at the top right of a card sends that customer the new window. It turns into a green ✓ once told; moving the job again brings the envelope back.
- Send to all customers sends every job on a truck that isn't finished.
MoveBoard first asks Your arrival time window has been updated. Do you wish to inform your customer of these changes? The customer gets an email and a text saying the arrival window was changed to the new time.
The Job assignments log
Under the board, Job assignments log lists every truck change, start change and end change made on the tab that day.
If something goes wrong
- This job still has 1 truck on Unassigned. Continue anyway? — a warning, never a block. Continue goes ahead, Go back stops.
- Could not send arrival window email or SMS. Please try again.
- The customer has no email or phone on the order.
- Cannot update time. Please, try again — the end time didn't save.
