Move confirmations

The day before the move, ask each customer to confirm by text, email or both. They reply YES or tap the link, and Dispatch › Confirmations shows who has confirmed, who is waiting and who replied with a question. Reminders and a "Call to confirm" task follow up for you.

On this page

The day before a move, MoveBoard can ask the customer to confirm. They reply YES to the text, or tap the link and press Yes, confirm my move. The move then shows as Confirmed everywhere: on Dispatch › Confirmations, with a ✓ on the job's card on the board, and as a pill on the order's day.

Move confirmations are included in every plan.

See who has confirmed

  1. Press Dispatch in the menu.
  2. Press the Confirmations tab.
  3. Pick the day with the date's arrows or the calendar, as on every Dispatch tab. To see tomorrow, press the right arrow once.

The red number on the tab is how many of tomorrow's moves are not confirmed yet.

At the top are the counts: Confirmed, Waiting, Replied and Not sent. Below is one row for each booked move day (a two-day move has a row on each of its days), with the order number, the customer and phone, the arrival window, the crew and truck, and where it stands:

  • Not sent — no request has gone yet.
  • Waiting — the request went (with the time), and any reminders: for example Reminder 1 of 2 sent 12:02 PM · next 2:02 PM. No answer · task created 4:00 PM means the "Call to confirm" task was made.
  • Confirmed — by text, by link, or by the office, with the time.
  • Replied — the customer wrote something other than YES (for example "can you come at 9?"). Call them back: the order's salesperson gets a task and a notice.

The tab updates by itself when a customer confirms.

Send a request by hand

  1. On Dispatch › Confirmations, find the move.
  2. Press Send now (or Resend to send it again).

To send to every move of that day that is not confirmed yet, press Send to all not confirmed at the top.

The request goes the way your branch's setting says: text, email or both. A customer who replied STOP to your texts is never texted; they get the email instead when they have one. Texts are never sent between 8 PM and 8 AM in the customer's own time.

Mark a move confirmed (or not)

When a customer confirms on the phone:

  1. On Dispatch › Confirmations, find the move.
  2. Press Mark confirmed.
  3. Press Mark confirmed and text a thank-you, or Mark confirmed, no text.

To undo it, press Mark not confirmed on that row. Marking a move (confirmed or not) stops its reminders.

Sending requests and marking moves needs the permission Confirm moves (in Users & permissions, the Move confirmation card). Dispatchers have it until an administrator changes it, and administrators always have it.

Send requests automatically (each branch)

Each branch has its own settings. For each branch:

  1. Switch to that branch from the top bar — see Switch branch.
  2. Press your name at the top right.
  3. Press Settings.
  4. Press Dispatch.
  5. Press Move confirmation.
  6. Turn on Send automatically.
  7. Pick What time the request goes the day before (10:00 AM to start with; only between 8 AM and 8 PM).
  8. Pick How: Text and email, Text only or Email only.
  9. Press Save.

With Send automatically off, nothing goes out by itself: the office sends requests from the Confirmations tab.

On the same page:

  • Text a thank-you when they confirm — on or off.
  • Send a reminder every 1, 2 or 3 hours, Send at most 0 to 5 reminders (0 means none), and Don't send after a time (8 PM at the latest). A reminder that would land later, or in the customer's quiet hours, is skipped, and the row says so. Reminders stop as soon as the customer confirms, replies, or the office marks the move.
  • If still no answer by a time (4:00 PM to start with): every move still waiting then gets one shared task, Call to confirm the move — order #…, for the people under Who calls — the order's salesperson, the dispatchers, and anyone else you tick. Each person gets one notice, by their own notification settings.

Change the words

The request, the reminder and the thank-you are edited on the same page, under The words:

  1. Go to Settings › Dispatch › Move confirmation (steps above).
  2. Under The words, press the message: Request · text, Request · email, Reminder · text, Reminder · email or Thank-you · text.
  3. Change the words. The preview on the right shows them as the customer gets them, with your newest booked move.
  4. Press Save.

The same messages are in Settings › Communication › Templates, in the Move confirmation folder. These words fill in by themselves:

  • Move confirmation: link — your short link to the confirm page (your name and logo, Yes, confirm my move and Call us).
  • Move confirmation: day — "tomorrow, Sat Nov 1".
  • Move confirmation: arrival window — "8-10 AM".
  • Move confirmation: from and to — the towns.
  • Move confirmation: service — that day's service.

What the customer can reply

These replies confirm the move: yes, y, yep, yeah, confirm, confirmed, ok, okay and sure, in any capitals, with or without "!" or ".". Anything else shows as Replied for the office to read. STOP still stops your texts to that number, as always.

Workflows

Two moments start a workflow (Settings › Communication › Workflows › When): A customer confirmed their move and A customer didn't confirm by the set time. See When a workflow starts.

Ask Ed

Ask Ed "who hasn't confirmed tomorrow?". With Confirm moves, Ed can also send a request or mark a move confirmed — it shows you a card first, and you press to do it.
