Running late alerts
Shortly before the end of a job's arrival window, check whether the crew is on its way. If not, MoveBoard texts the people you choose and gives them one shared task to call the customer.

A running late alert tells your team when a crew is still not on its way shortly before the end of a job's arrival window, so someone can call the customer before they wonder where you are.
When a rule finds a late job, MoveBoard:
- texts each person you chose, on the mobile number on their profile — for example Running late: #216355 Chad Heal, window 1-4 PM, crew not en route yet. Please call the customer about the arrival time. with a short link to the order;
- makes one shared task, Call customer about arrival time — order #…, for all of them, with the customer's phone, the window and why it fired. When one person marks it done, it's done for everyone;
- writes a line in the order log, for example Running late alert: crew not en route yet 1 h before the end of the 1-4 PM window. Texted Mia, Jordan · task created.
Running late alerts are included in every plan. Nothing is sent until you add a rule.
Add a rule (each branch)
Each branch has its own rules. For each branch:
- Switch to that branch from the top bar — see Switch branch.
- Press your name at the top right.
- Press Settings.
- Press Dispatch.
- Press Running late.
- Press Add a rule.
- Under When, pick how long before the end of the arrival window to check: 30 min, 1 h (to start with), 1.5 h, 2 h, 3 h or 4 h. With a 1-4 PM window and 1 h, it checks at 3 PM. A job with no arrival window counts from its start time.
- Under What counts as late, tick No crew assigned, Status is still before a step (En route to start with; or Received or Arrived), or both. Either one is enough.
- Under Who, tick Dispatchers, The order's salesperson, and press These people to tick anyone else.
- Press Save.
Each rule has its own switch: turn it off to stop it without losing it. To remove a rule, press the bin next to its switch, then Save.
You can add more than one rule — for example one at 2 h for the dispatchers, and one at 30 min for the manager.
Which jobs are checked
- Booked and reserved jobs only. Cancelled and postponed jobs are never checked.
- A multi-day job is checked on each of its days.
- Each rule alerts a job day once. If the crew gets going before the rule's time, nothing is sent.
- The status is the one the crew taps on the Mover's Portal (Received, En route, Arrived …), the same one Dispatch shows.
People with no mobile number
The text goes to the number marked Mobile on the person's profile. Someone with no mobile number still gets the task, but no text. The settings page lists them under No mobile number. To fix it, open Team, open the person, and set their Phone Type to Mobile — see Add a user.
Change the words
- Go to Settings › Dispatch › Running late (steps above).
- Under The text to staff, change the words. The preview on the right shows them filled in with your newest booked job.
- Press Save.
The same text is in Settings › Communication › Templates, in the Running late folder. Switch it off there or on this page to send no texts: the task and the order log line still happen. These words fill in by themselves:
- Running late: order number — "216355".
- Running late: customer — "Chad Heal".
- Running late: customer phone — "(617) 555-0142".
- Running late: window — "window 1-4 PM", or "start 9 AM" when the job has no window.
- Running late: why — "crew not en route yet" or "no crew assigned".
- Running late: order link — your short link to the order.
The text goes from your company's texting number to your own people, never to the customer.
Who can change the rules
Anyone who can open Settings can change the rules, as for the other Dispatch settings.
Workflows
A job is running late starts a workflow (Settings › Communication › Workflows › When), once each time a rule fires. See When a workflow starts.
Ask Ed
Ask Ed "which jobs are running late right now?". Ed lists today's jobs whose crew is still not on its way after your rules' time, and whether an alert went out. With no rules yet, Ed checks with 1 h before the end of the window.
