Send to pay sends a secure payment link to whoever pays for a move. They open a read-only copy of the bill of lading, may add a tip for the crew, confirm the payment with their name, and pay by card. The payment shows on the crew's bill and on the closing the moment it goes through, marked Paid remotely by the payer.
Turn it on
Settings › Documents & bill of lading › Payments on the bill of lading › Send to pay. It's off until you turn it on, and set per branch. With it on, the crew's bill shows Send to pay beside PAY.
For one move, open Payments Made in the closing (the Payments window) and flip Send to pay enabled on the bill of lading (Yes/No). It starts at the company setting; the line under it says whether the button shows on the movers' bill of lading. When the move differs from the company, Company setting: On/Off · Use company setting puts it back.
Send from the closing
The office can always send a link from the closing, whatever the setting:
- Open the order's closing and pick the day.
- Under Payments Made, click the small Send to pay link.
- The customer's mobile and email are filled in — change them to the payer's. The amount starts at the day's balance due; lower it if you like.
- With a card fee, the window shows it at once: $1,000.00 + 5% card fee ($50.00) = $1,050.00.
- Press Send link. The payer gets a text from your company's number and an email with a Review and pay button. The link is on your company's website address.
Once a link is paid, one green line shows under the link: ✓ Paid remotely by Ann Smith · 10/17 3:04 PM · $1,155.00 (tip $100.00). Links still waiting and each payment's consent are in the Payments window (click Payments Made). The order log has a line for each link sent and each payment.
The money
- Card only, through your branch's card processor.
- Card fee: the same rule as a card payment on the bill of lading — charged when the order charges its fee on the bill, on the amount and the tip ($100 tip + 5% = $105).
- Tip: recorded exactly like a tip on the bill — the crew's, on the bill and the closing, and to payroll.
- Never more than the balance: each link shows what is left when it's opened and again when the payer presses Pay. If the balance dropped below the link's amount, the payer is offered the lower amount; if nothing is owed, the link says already paid. Two links can't both collect the same balance.
- The payer's card is not saved on the customer's file.
The payer's consent
Before paying, the payer types their first and last name, ticks the sentence — for example I'm paying $1,155.00 for the move of Jane Doe on 10/17/2026 ($1,000.00 + $100.00 tip for the crew + $55.00 card fee). — and signs with a finger or the mouse. Pay stays off until all three are done.
Everything is kept with the payment: the drawn signature (filed on the payment like any payment signature), the typed name, the exact sentence, the amounts, the card's brand and last four digits (never the full number), the processor's transaction number, when the page was opened, the box ticked and the card paid, the IP address, the device, browser and system, the screen size, time zone and language, and the link — who sent it, to which phone and email. In the Payments window the payment is a normal row marked Paid remotely · Ann Smith under its date: double-click it (or use ⋮ › Payer's consent, or Payer's consent on the payment itself) to open Payment details — laid out like a receipt, with the signature in its frame, the full user agent under Technical details, and Print for a one-page copy.
