The quote goes to the customer when the order becomes Can Book Online. As you save that change, MoveBoard shows you the emails and texts your company sends for it, so you can check them, change the words or leave one out before they go.
Before you start
- Every day of the move needs its trucks. MoveBoard won't save Can Book Online (or Reserved, or Booked) until each day has the number of trucks it asks for.
- An email needs the customer's email address; a text needs a mobile number.
- The words come from your templates set to go "when the order status changes to Can Book Online" in Settings › Communication › Templates.
Send it with the status
- Open the order.
- Press the status pill and pick Can Book Online in Move this order to….
- Press SAVE.
- The Order Updates window lists what changed and, under it, a chip for each email and text that goes with Can Book Online: - press a chip's name to change its words for this customer; - press the eye to see it filled in for this order; - press × to leave it out; - press Add update to add another template (Click to Use Template, then pick one from its folder).
- Press Save. The order is saved, then the messages go.
MoveBoard picks the set of messages that fits the order: a multi-day move has its own, and an order coming from New-Info, New-Truck or New Lead Past can have its own too.
Send it by hand
To email the quote again, or send a different one, use the conversation under the cards:
- Open the Email tab.
- Press Template and pick the quote email. (Templates marked "add to order templates" in your settings show here.)
- Change anything you like, then press Send.
For a text, use the Message tab the same way and press Send as SMS (or Preview and send SMS when the words hold variables, so you see them filled in first).
What the customer gets
The email (and text, if your company sends one) with their own link to their portal. There they see the move as Can Book Online, review the quote, sign the Order for Service and pay the deposit — see Let the customer book online.
Every message shows in the order's conversation, and the status change goes in the Order Log.
If something goes wrong
SAVE stops with a Warning! and tells you what's missing:
- To save these changes, assign a truck to your move: use Schedule Date/Truck to pick one.
- To save these changes, assign a truck to your move: use Schedule Date/Truck on the Pickup tab of Move Details to pick the pickup truck. (a long-distance order)
- Assign 1 more truck to save these changes (the number is how many are still missing).
- Each job's "number of trucks" needs to match the count of "trucks assigned".
