Let the customer book online

What Can Book Online means, what the customer sees and does in their portal, and when an unbooked quote expires.

Can Book Online means the move is quoted and you have the truck: the customer can now book it themselves, any time, from their portal — sign the Order for Service and pay the deposit in one go.

Make an order Can Book Online

Move the order to Can Book Online with the status pill and press SAVE. The quote email and text go out as you save — see Send the quote. Every day of the move needs its trucks first.

What the customer sees

Their portal shows the move as Can Book Online, with a short note that you're available and a button to book. Booking takes them to the Order for Service page:

  1. They tick I agree to use electronic signatures (your company may word it differently).
  2. They read the document — or documents, when there's an estimate to confirm as well.
  3. They tick that they agree with your Company Policies and Cancellation Policy.
  4. They draw their signature once, then tap each Sign here spot.
  5. They press Pay deposit and book — or Save and book my move when there's no deposit to pay here.

With a deposit due, nothing is kept until the card goes through: the payment, the signature and the booking happen together, and the move becomes Booked. A declined card leaves nothing behind and they can try again. If a stop is missing its street address, the page asks for it before payment.

What can stop them

When it expires

Unbooked quotes don't wait forever. Settings › Sales & orders › Expiration rules sets, for each move type:

  • Quotes the customer can book online — on the day before the move, after the Expire after hour, a Can Book Online order becomes New Lead Past. Which jobs expire chooses All of them or only Morning jobs (those starting by Morning jobs start up to).
  • Quotes with no activity — after Expire after this many days with the customer not signing in to their portal, the order becomes Expired. Never turns this off.
  • The night before the move — at midnight, an order that still isn't booked becomes Expired or New Lead Past, as you choose.
  • After a customer changes their move — when the customer edits a Can Book Online move in their portal: Send it to New-Info so the office checks it, Let them keep booking when their truck is still free, or Always let them keep booking (a new date always moves the order to New-Date for the office).

Each change is written in the Order Log, and the customer gets your company's messages for the new status.
