Getting started

Set up your company in a day

A checklist of the settings pages to visit, in the right order, so your first quote, booking and job go smoothly.

This is the order we recommend for setting up a new company. Each step is a settings page; nothing lower down works well until the steps above it are done. Plan on a working day in all — the times are a guide.

Open Settings from the bottom of the menu (you need the Settings permission). Every page below is a group and a section on the Settings screen.

Your company (about 45 minutes)

  1. Company & branches › Company info — name, addresses, phones, licences (USDOT/MC), time zone, units and the move types you take. 15 min
  2. Company & branches › Branding — upload your logo. It appears in the top bar and on what customers see. 2 min
  3. Company & branches › Branches and Order routing — only if you have more than one branch. 5 min
  4. Users & permissions › Users and Departments — invite the office team, give each a department, and set their permissions. 20 min

Trucks and crew (about 25 minutes)

  1. Dispatch › Trucks and Dispatch trucks — your trucks' names, sizes and order. 10 min
  2. Users & permissions › Users — add your foremen, drivers and helpers, each with a mobile number. 15 min

Pricing (about 1½ hours)

  1. Pricing & calculator › Rates and Price calendar — hourly rates by crew size, and your peak and discount days. 20 min
  2. Pricing & calculator › Crew Size & Minimums, Truck count and Mover Speed. 20 min
  3. Pricing & calculator › Travel Time and Fuel surcharge. 10 min
  4. Pricing & calculator › Reservation & deposits. 5 min
  5. Pricing & calculator › Valuation — released and full value protection. 10 min
  6. Services & packing › Services, then Sales & orders › Packing materials and Additional services. 20 min
  7. Pricing & calculator › Test calculator — price a pretend move and check the result looks right. 5 min

Getting paid (about 15 minutes)

  1. Payments & billing › Payment processing — connect your card processor. Type your Authorize.net API Login ID and Transaction Key; the line under each box says where to find it in Authorize.net (Account › Settings › Security Settings › API Credentials & Keys). 10 min
  2. Payments & billing › Payment & processing fees and Payment receipts — card fees or a cash discount, and what receipts say. 5 min

Talking to customers (about 1½ hours)

  1. Communication › Email setup — connect the mailbox your emails go out from. Type the address and press Get Recommended Settings; it fills the SMTP Host and Port for most providers. The line under each box says what goes in it (with 2-step sign-in on, the Password is an app password from your provider). Gmail and Outlook can sign in instead of a password. 10 min
  2. Communication › Text messages and Texting registration, and Payments & billing › Balance & usage for your texting balance. 15 min
  3. Communication › Header & footer and Templates — your look, and the quote, booked and reminder messages. 20 min
  4. Documents & bill of lading › Estimate & order for service and Bill of lading — the wording customers sign. 15 min
  5. Customer experience › Policies and FAQ. 10 min
  6. Customer experience › Client portal — how the customer's portal looks. 10 min

Leads coming in (about 30 minutes)

  1. Website & forms › Quote forms — put the quote form on your website. 10 min
  2. Sales & orders › Lead sources and Lead assignment — where leads come from, and who gets them. 10 min
  3. Communication › Workflows — look through the built-in workflows that send messages for you. 10 min

Go live

  1. Have your crew sign in to the Mover's Portal on their phones. 10 min
  2. Take one job all the way: a new lead, booked, completed, with the bill of lading submitted.
  3. Advanced › Setup wizard — turn on Is configuration wizard completed? to record that setup is finished. (The switch only records it; it doesn't change anything else.) 1 min

When you need them

  • Integrations › RingCentral — calls in the browser.
  • Your own Google Calendar — under Connections in the menu under your name.
  • Storage › Facilities — if you store goods.
  • Long distance › Method — if you do long-distance moves.
  • AI receptionist — if you'd like it to answer calls.
  • Documents & bill of lading › Claims — who handles damage claims.
