Email, texts & calls
Staff notifications
Choose which of your team hear about what — new leads, bookings, payments, customer replies — and whether by the bell, email or text; one event is one message, never a pile.

MoveBoard tells your team when something happens — a new lead, a customer reply, a deposit, cash collected. You decide who hears about what, and each person decides how.
Two levels
| Who decides | What | Where |
|---|---|---|
| An admin (or whoever manages employees) | Which notifications a person may get (On) and whether Only mine | Settings › Users & permissions › Notifications, or the person's user window, Notifications tab |
| Each person | App (in the bell), Email, Text | The gear in their bell's drawer — see Notifications |
Set one person's notifications
- Open Settings › Users & permissions › Notifications.
- Find them with Search Users and press Edit.
- Notifications — (name) lists every notification in plain words, grouped: New leads, Customer activity, Bookings and payments, Estimates and surveys, Office activity, Jobs and crews, Reminders, Storage, Company. Each group has an all row.
- For each, tick: - On — they may hear about it. - App, Email, Text — how. - Only mine — only when the order or account is theirs (they're its salesperson).
- Press Save.
Saving will replace the user's current settings with the selections below. A notification left on with no channel ticked stays theirs to switch on from the bell's gear.
New people start with the defaults for their position — see Who hears about what.
One event, one message
Things that happen together arrive together. A lead that comes in with an inventory and a note is one New lead message, saying whether the customer is new or already in your system. A customer who signs the order for service and pays the deposit gets you one Booked online. Busy kinds are paced — Customer read an email at most once an hour per order, Customer is online at most once every 30 minutes.
Two notifications nobody gets by default because they're constant: Any order update and Order opened or closed.
The company's own switches win
Staff emails and texts use two templates of their own. If the company's staff email template is switched off, nobody gets notification emails — the screen says Staff emails are off for the company…. The same for texts: texting must be on and the staff text template active.
Good to know
- Crew (foremen, drivers, helpers) hear about their jobs in the Mover's Portal, not here.
- A workflow's Tell a teammate step arrives the same way — through each person's App / Email / Text choice.
