Let someone see archived orders

The "See archived orders" permission lets a manager or anyone you pick search and open archived orders, the way an admin can.

An archived order is hidden from the office: it doesn't show in the orders list, search, counts, the dashboard, the Calendar or reports, and its money isn't counted anywhere. Admins can still find archived orders. See archived orders lets you give that to anyone else — a manager, for example.

What it gives

Someone with See archived orders can, like an admin:

  • pick Archived in the Status filter of the orders list and of AI Leads
  • turn on the Archived chip in search, which finds only archived orders, their payments and their invoices
  • pick Archived in a report's status filter
  • choose Only archived orders' invoices on the Invoices page
  • open an archived order's window from a link or a search result
  • ask Ed for archived orders (find archived orders for Smith); without the permission Ed says archived orders are hidden

They still see only the orders their other switches allow. With Can see other user's orders and Can see unassigned orders both on, they find every archived order; without them, only the archived orders that are theirs. See Who sees which orders.

What stays the same

  • Archived orders never come back into normal lists, counts or totals. They show only when Archived is picked.
  • Only an admin can archive an order or take it out of Archived.
  • Only an admin can change the payroll of an archived order.

Turn it on

  1. Open Settings › Users & permissions › Users and click the person.
  2. Open Permissions. In the Orders card, turn on See archived orders.
  3. Press Save. It applies on their next click.

It's off for everyone until you turn it on. Admins always have it.
