Departments and positions

What a department is for, what each position means, and how the two decide where a person works and what they start with.

Every person has a department, a user type and one or more positions. Each does a different job:

  • The department decides which permissions a new person starts with.
  • The positions decide where they work — in the office, on the trucks, or both — and which notifications they start with (Defaults by position).
  • The user type — Admin or Standard — decides whether they hold every permission.

Positions

A person can hold several. Someone who is Sales and Foreman signs in to the office and also leads crews. Someone whose only positions are Foreman, Driver or Helper never opens the office — they use the Mover's Portal on their phone (see Crew accounts). Someone with no position at all can't open the office either, unless they're an administrator.

A few positions do something extra:

  • Dispatcher — always keeps Can see other user's orders and Can see unassigned orders when saved, whatever the switches say, so they see every job.
  • Foreman, Driver, Helper — the person shows as a crew member, can be put on crews in Dispatch, and gets a Time off tab.
  • Office positions decide who appears in the office pickers (sales person, tasks, assignment). Movers never appear there.

Additional responsibilities

On Details, Additional Responsibilities adds In Home Estimator, Virtual Estimator or Box Delivery. An estimator responsibility puts the person in the list of people who can be given in-home or virtual estimates — see In-home estimates.

User type

  • Admin holds every permission in every branch, and their Permissions tab is closed. Picking Admin keeps the positions you ticked: a position says what the person does (it puts them in the dispatch lists and picks their notifications), so tick only theirs.
  • Standard holds only the permissions switched on for them. Picking Standard clears the positions so you can choose.

Only an administrator can make someone an administrator. You can't change your own user type.

Departments

Departments are yours to name — Sales, Dispatch, Office, Crew, or anything else. Add, rename and delete them in the Departments list on the Users page (see The Users page).

Each department has Group Settings: the permissions a new person in it starts with (notifications come from the position, not the department). You set them in Settings › Users & permissions › Departments — see Departments. There you can also push them onto everyone already in the department with Save and Apply to All Users in Group.

Moving someone to another department

  1. Open the person and stay on Details.
  2. Pick the new Department.
  3. MoveBoard asks Do you want to use the department's default permissions? - Yes — when you save, their permissions become the new department's set. Their notifications stay as they are. - No — they keep their own permissions.
  4. Press Save.

If something goes wrong

  • Please choose department and Position field must have at least 1 items — every person needs a department and a position.
  • Department name must be at least 3 characters
  • Cannot delete non-empty department. Please re-assign employees first!
