Team & permissions
How permissions work
The three layers that decide what a person sees and does — which orders, which parts of the office, which actions — and how a change reaches them.

Permissions are switches on a person's Permissions tab. MoveBoard checks them on the server every time, so a hidden button is also a locked door: a person can't reach something by typing its address either.
Three layers
1. Which orders and accounts they see. Everyone sees the orders assigned to them. Two switches open more: Can see unassigned orders and Can see other user's orders. For accounts, Can see other user's accounts opens every business account; without it a person sees only the accounts they manage. See Who sees which orders.
2. Which parts of the office they open. Dashboard, Orders, Mail, Tasks and Support are open to everyone in the office. Every other menu item has its own switch in the Main menu card — for example Dispatch — Can see Dispatch Tab or Settings — Can see Settings Tab. A missing switch hides the item, and opening its address shows That one is not yours to open.
3. Which actions they take. Refunds, card charges, invoices, exports, dispatch changes, account edits and the rest — each its own switch, grouped in cards: Accounts, Orders, Admin, Payments, Reports, Communication, Calendar, Dispatch, Bill of Lading, Calls, Trips, Claims and more. See The permissions matrix for every one.
Set a person's permissions
- Open Settings › Users & permissions › Users and click the person.
- Open Permissions. Each card shows how many of its switches are on, for example 3 of 7 on.
- Switch permissions on or off. All On/Off turns a whole card on or off.
- Press Save.
Administrators
An Admin holds every permission, in every branch, including a few kept for administrators only — moving a payment to another order, waiving a card fee or cash discount, deleting orders, the Archived filter. Their Permissions tab is closed: An administrator's permissions are not set one by one.
Where a person's permissions come from
- A new person starts with their department's permissions (Group Settings).
- Moving them to another department asks whether to use that department's set.
- Save and Apply to All Users in Group on Settings › Users & permissions › Departments resets everyone in a department to its set — see Departments.
Permissions are kept per branch: a person in two branches can do different things in each — see Users in several branches.
When a change takes effect
On the person's next click. MoveBoard reads their permissions afresh on every request, so they don't need to sign out. The tab's note says the same: Saved permissions apply on the person's next click — there's no need to sign out and back in. Switching someone off ends their sessions at once.
Who can change permissions
Administrators, and anyone with Manage employees within the company — within limits: they can't change their own access, can't touch an administrator, and can grant only permissions they hold themselves. See What a non-admin manager can change.
If something goes wrong
- Permissions are for someone with an office position, a foreman, or an additional responsibility. — a helper or driver with nothing else has no permissions to set.
- Only someone who manages employees can change this. — you can look but not change.
- You can only grant or remove permissions you hold yourself (not …) — ask an administrator.
