Connections
Each office person's email, Google Calendar and RingCentral in one list — who's connected, who needs to sign in again, and how to connect for someone.

Each office person can connect three things: their email (so mail goes from their own address and replies come back to them), Google Calendar (so jobs show on their calendar) and RingCentral (so calls ring in MoveBoard). This page is about checking and fixing those connections for your team.

The four states
| State | Meaning |
|---|---|
| Connected | Working — with Connected as … the account it uses. |
| Not connected | Never set up, or switched off. |
| Needs reconnect | It was set up but the sign-in expired or was withdrawn — the person must sign in again. |
| Unavailable | The service isn't on for your company (Google Calendar or RingCentral). It doesn't count as a problem. |
MoveBoard works these out from what it already holds; it doesn't ask Google, Microsoft or RingCentral each time.
The Connections list
Administrators and anyone with Manage employees within the company can open it: Settings › Users & permissions › Users, then Connections at the top.
- The counts show Office people, Need attention and Need reconnect. When nothing is wrong: Everyone in the office is connected.
- Each row shows the person with their Email status, Calendar status and RingCentral status.
- Narrow it with the filter — Everyone, Needs attention, Not connected, Needs reconnect, All connected — or Find a person, and change the order with Sort by (Needs attention first, by name, or by one connection).
- Foremen, drivers and helpers aren't listed — they don't use these. Switched-off people aren't either.
Connect for someone
Sometimes it's quicker to sit with the person, or to sign in for them.
- Press Connect (or Reconnect) on their row — or open their window and pick Integration.
- The card at the top shows the three connections. Press Connect Google for …, Connect Microsoft or Connect RingCentral for ….
- Google's, Microsoft's or RingCentral's own page opens in a pop-up. The person (or you, with their password) signs in there. MoveBoard never sees the password.
- The pop-up closes itself and the state turns Connected.
Disconnect asks once — Disconnect …? — before it acts.
Google Calendar on the Integration tab
Google Calendar isn't a sign-in. Your company's calendars are shared with a Google address:
- On the person's Integration tab, find Google Calendar Integration.
- Type their Gmail Address and tick the Calendars they want (Booked, Can Book Online, Follow Up, New, Virtual Estimate, In-home Estimate, Storage Move In, Storage Move Out).
- Press Save.
The state reads Connected once every chosen calendar is shared with that address — see Google Calendar.
A mailbox set with a password
The Email Setup box on the Integration tab also takes a mailbox by server and password (Outgoing Mail Server (SMTP), Port, Email Address (account), Password, and the incoming server). These boxes show only for someone with an office position.
If something goes wrong
- RingCentral buttons greyed with Not turned on for your company yet — RingCentral calling isn't switched on for your company.
- The company line needs to be reconnected — Settings › Integrations › RingCentral — an administrator signs the company line in again.
- Choose at least one calendar. / Enter the Google address the calendars are shared with.
- Still shared with an older address — the Gmail address changed; press Save on the Integration tab again so the calendars are shared with the new one.
