On this page
MoveBoard keeps a set of Google calendars for your company — booked moves, follow-ups, estimates, storage move-ins and move-outs — and shares the ones each person picks with their Google address. The jobs then show on their phone's calendar like any other event.
Before you start
An admin of your company switches Google Calendar on or off in Settings › Integrations › Google Calendar: turn on Enabled and press Save. Switching on creates your company's calendars and shares them with everyone who saved a Gmail address; switching off stops the sync and keeps the calendars and the events already on them. On that page, Create calendars / Repair makes any calendar that is missing and brings the sharing in line. Only admins see the page; the MoveBoard team can help too.
Until it is on, a person's Integration tab says Google Calendar integration is currently disabled and the state under Connections reads Unavailable.
Pick your calendars
- Open your window — under your name, My profile — or, as an administrator, the person's window. Pick Integration.
- In Google Calendar Integration, type the Gmail Address to share with.
- Tick the Calendars: Booked Calendar, Can Book Online Calendar, Follow Up Calendar, New Calendar, Virtual Estimate Calendar, In-home Estimate Calendar, Storage Move In Calendar, Storage Move Out Calendar.
- Press Save.
Within a minute or two the calendars are shared with that address. Open Google Calendar and they appear under Other calendars.
What goes on the calendars
- An order — one event per move day, titled with the order number, the customer and the service, on the calendar of its status. When the status changes, the event moves to that status's calendar; a status with no calendar removes it.
- A changed order — the events follow: new days added, changed days updated, removed days deleted.
- An in-home or virtual estimate — on the estimate calendar, removed if it's cancelled.
- A storage tenant — move-in and move-out.
Archived orders are never put on a calendar.
One way only
The calendars follow MoveBoard. An event changed or deleted in Google doesn't change the order — make changes in MoveBoard and the calendar catches up within a minute or so.
Is it working?
The state under Connections reads Connected with … calendars shared once every calendar the person picked is shared with their address. Otherwise:
- No Gmail address / No calendars chosen
- 2 of 3 calendars not shared yet — wait a minute, then look again.
- Still shared with an older address — the address changed; press Save on the Integration tab again.
If something goes wrong
- Enter the Google address the calendars are shared with. / Choose at least one calendar.
- The calendars don't appear in Google — check the address is the one you sign in to Google with, and look under Other calendars.
