Call customers from the branch's number

Choose the number customers see when your team calls from a branch's orders, and the two RingCentral steps that let each salesperson use it.

If each branch has its own phone number in RingCentral — often a call queue — you can make calls from that branch's orders show the branch's number instead of the salesperson's own line. Customers then see a number they recognise and call back to the right branch.

Choose the branch's number

  1. Switch to the branch, then open Settings › Integrations › RingCentral.
  2. In Outbound number for this branch, pick a number. The list shows your RingCentral account's numbers: company numbers, call queue numbers with the queue's name, and direct numbers.
  3. Press Save in the footer.

Repeat for each branch. Leave it on Each person's own number (default) to keep calls going out as they do today.

Which calls use it

  • A call you place from an order — its customer card or its claim — shows the order's branch number, whichever branch you're signed in to.
  • A call from the dial pad or anywhere else shows your own number, as before.
  • Calls, recordings and voicemails still land on your line and on the Calls page, and are filed on the customer's order as usual.

Let your salespeople use the number (in RingCentral)

RingCentral only lets a person show a number they're allowed to use. Your company's RingCentral administrator does this once, in the RingCentral admin portal:

  1. Add each salesperson to the queue. Open the call queue that owns the branch's number and add the salespeople who call for that branch as members.
  2. Allow the number as caller ID. For each of those people, open their user's Caller ID settings and allow the queue's number (or company number) as the outbound caller ID for calls made from apps and softphones.

The steps' names can differ a little between RingCentral plans. If you can't find them, ask RingCentral support how to "let a user present a call queue number as outbound caller ID".

If someone isn't allowed yet

  • Under the picker, MoveBoard lists the people RingCentral doesn't yet let use the number.
  • When such a person calls from an order, the call still goes through — from their own number — and the call window says: Calling from your own number — ask your RingCentral admin to let you use (512) 555-0100 as caller ID.
  • Once the admin allows it, their next calls show the branch's number (allow up to ten minutes for MoveBoard to notice).

If something goes wrong

  • Connect the company's RingCentral first — the numbers are read through the branch's main RingCentral sign-in. See RingCentral phone.
  • RingCentral needs to be reconnected — reconnect the company line on the same page, then pick the number.
  • That number is not on this branch's RingCentral account — pick one from the list.
