Automatic lead assignment
How new leads get a salesperson without anyone pressing a button, and how to add your own hand-offs with workflows.

Every lead that arrives on its own — from your website, the customer portal, the AI receptionist or a lead provider — gets a salesperson automatically. The rules are in Settings › Sales & orders › Lead assignment; the full guide is Who gets each lead.
The order MoveBoard follows
- A move-out order goes to the salesperson of the order it's linked to.
- A returning customer goes back to their salesperson.
- Otherwise, the salespeople whose rules all match the lead (move type and service, lead source, size, price and working hours right now) take turns — the one who has waited longest gets it.
- If nobody fits, the lead stays unassigned and the order says why.
The Order Log says how each lead was assigned, for example Assigned to Sue Sales — by rotation.
Add your own hand-offs with workflows
Assignment happens the moment the lead comes in. For anything more, a workflow can give an order to someone later, with Give it to a sales rep:
- Long-distance leads to your LD rep — When a new lead is created → only if Long distance is yes → give it to your LD rep.
- Expired quotes to a closer — When an order expires → give it to your closer.
A workflow's step is skipped (it already is theirs) when the order already belongs to that person.
Who hears about it
The salesperson who gets the lead hears through the Order assigned notification, if they have it on. See Staff notifications.
