Turning workflows on

The company switch that hands every automatic message to Workflows — who can flip it, what happens the moment it goes on, and how to turn it back off.

Workflows start off for every company. While they are off, you can build, change and try workflows as much as you like — nothing in Workflows sends, and MoveBoard's automatic messages go out from your templates and your Automation timeline.

When an admin turns workflows on, the workflows take over the sending.

Before you start

  • Only an admin can flip the switch. Everyone else sees an On or Off badge in its place.
  • Look through the list first. Each built-in is exactly what you send today, so turning workflows on changes nothing by itself — but it's the moment your own changes start to count.
  • Try any workflow you changed on a real order with Try it on an order (see Test a workflow).

Turn them on

  1. Open Settings › Communication › Workflows.
  2. In the card at the top, switch on Workflows on for the company.
  3. Read the question and confirm.

The card changes to Workflows are sending, with the time it was switched on.

What happens at that moment

  • Every built-in that comes from a template or an Automation timeline row is saved as a workflow — same moment, same message, same orders, the same on or off.
  • From the next moment on, workflows send those messages and MoveBoard's automatic messages stand down for everything they cover.
  • Settings › Communication › Automation timeline now says Now part of Workflows, with Open Workflows. Your follow-ups and reminders are changed in Workflows from here on.
  • Templates hold only the words. Choosing a moment on a template no longer decides when it goes.
  • Nothing is sent twice — a message already sent for a moment is never sent again by the workflow.

Turn them back off

Switch off Workflows on for the company and confirm. MoveBoard's automatic messages send again from the template rules and the Automation timeline. Your workflows stay saved for when you turn them back on. Runs that were waiting stay where they are; if you turn workflows on again later, MoveBoard checks each one again before it acts.

If something goes wrong

  • Only an admin can switch the workflows engine. — ask an admin to do it.
  • Only an admin can delete a workflow. Switch it off instead. — anyone with Settings access can switch a workflow off; deleting is for admins.
