Set up a follow-up email
A step-by-step recipe for the follow-up every mover needs — an email a day after a quote that hasn't booked, which stops by itself once the customer books.

A quote that sits for a day usually needs a nudge. This recipe emails the customer one day after the lead came in, only while it's still open, and stops by itself the moment it books.
Before you start
- Write the email first in Settings › Communication › Templates — for example "Still planning your move?" with the customer's name, the move date and their portal link. See Build your email and text templates.
- Workflows only send once an admin has turned them on for your company. Until then, use the Automation timeline (below).
Build it in Workflows
- Open Settings › Communication › Workflows and press New workflow.
- Press Follow up a quote — it fills in a call task. You'll swap that for an email.
- Name it, for example Quote follow-up — day 1.
- When: it already says 2 days after the order was created. Change How long after to 1 day.
- Wait: leave Right away, with quiet hours ticked so it never goes at night.
- Only if: it already checks the status is New, Follow up or Can book online. Keep it.
- Stop by itself: it already stops once the status is Booked or Reserved. Keep it.
- Do: press Remove on the task, then Add a step › Send an email, and Pick the email template.
- Read In plain words, then Try it on an order with a fresh lead.
- Switch it On and press Create.
Add day 3 and day 7
Press Duplicate on your workflow, rename the copy, change How long after to 3 days and pick your day-3 email. Do the same for day 7. Each copy starts off — switch it on when it's ready.
Or use the Automation timeline
With workflows off, the same follow-up is an Automation timeline row:
- Open Settings › Communication › Automation timeline and press Add new configuration.
- Automation rule: No activity status.
- Tick New, Follow Up and Can Book Online.
- 1 Days → your template.
- Press Save.
It goes out at about 1 PM, one day after the order was created, while the order is still in one of those statuses. See The Automation timeline.
What happens next
The email appears in the order's conversation as an automatic message, and the workflow's Log shows each order it went to — or why it didn't.
