Tasks made by workflows

Have a workflow give someone a task — the order's sales rep, the dispatchers, the managers, a whole department or one person — with a title, a due time and a kind.

A workflow can hand someone a job to do: call about the piano, check a big move, collect a payment. The task lands in their Tasks like any other.

Add a task step

  1. Open the workflow's Do card and press Add a step › Create a task.
  2. Type the title — What to do — e.g. Call about the piano.
  3. Choose for whom.
  4. Choose when it's due: now, or in 15 minutes up to 1 week.
  5. Choose the Kind of task: Call, Email, Collect payment or Other.

A shared task is one task for the group: when one person completes it, it's done for everyone.

What the task looks like

  • The title you typed, the kind and the due time.
  • Linked to the order, so it opens from the task.
  • A note: Made by the workflow "…". so everyone knows where it came from.

When there's nobody to give it to

If the order has no sales rep, or nobody is in the position, the step is skipped and the log says nobody is the sales rep on this order (or the dispatchers, and so on). Assign the order, or choose someone else.
