Rows marked Built in on the Workflows page are the automatic messages your company already sends, written out as workflows. You don't build them — MoveBoard reads them from your templates and your Automation timeline.
Where they come from
- One per template on a moment. Each active email or text template that is set to go out on a moment (for example "An order becomes Booked") is one built-in workflow: When that moment → right away → only if the order matches the template's move type, service and estimate type → send that template.
- One per Automation timeline row. Each follow-up or reminder on the Automation timeline is one built-in workflow under Reminders.
- The deposit link. One per branch: When the deposit link is texted from the order → Send the deposit link (text). See Text the deposit link.
- The inventory link. One per branch: When the inventory link is sent from the order → Send the inventory link (email + text). See Send the inventory link.
Built-ins send right away, day or night, exactly as the message always has. Their quiet hours start off; tick them if you'd rather they waited for the morning.
Change one
- Press the built-in's name, or any part of its sentence.
- Change what you need — add a wait, a condition, another step.
- Press Save.
From then on the row says Built in · changed, and your version is the one that runs. The note under the name reminds you: Change anything and it is kept as your version; Reset puts it back.
Switch one off
Use the switch at the start of its row. A built-in that is off sends nothing until you switch it back on.
Built-ins on a service-type moment start off
A built-in whose When is a service-type status moment — for example "Packing day hourly → Can book online" — starts off for every company, whatever its template says. Its row reads Off until you turn it on. Once on, it sends when an order whose first day is this service type changes to this status.
Switch it on at the start of its row when you want it. From then on it sends for orders whose first day is that service type, and the row says On: sends when an order whose first day is this service type changes to this status.
Put it back
Open a changed built-in and press Reset. MoveBoard asks Put "…" back the way it came? — answer yes and your changes are gone.
A built-in can't be deleted, only switched off or reset.
Copy one
Duplicate makes a new workflow called "Copy of …" with the same parts, switched off, so you can try a variation without touching the original.
When workflows are switched on for the company
Until an admin turns workflows on, the built-ins are a faithful reading of what MoveBoard sends — change and try them freely; MoveBoard's automatic messages still do the sending.
When workflows are turned on, every template built-in and every timeline built-in is saved as a workflow of its own — same moment, same message, same orders, on or off as it was — and from then on the workflows send. A template you put on a moment after that is not a workflow by itself: add it in Workflows. See Turning workflows on.
