Troubleshooting

Report numbers don't match

Why two reports, a report and a dashboard, or a report and your bank don't agree — the dates each counts by, archived orders, what you're allowed to see, filters, quoted versus closing amounts, and when the figures were worked out.

Two numbers that "should" match usually count different things. Check these, in order.

1. Which date the report counts by

Each report says, under the period, what its dates mean — for example Leads by the day they came in, bookings by the day they were booked. A job booked in September for a move in October is September in a bookings report and October in a report by move date. Payments count on the day they were taken, which may be neither.

2. The period and the comparison

Check both use the same Period (or the same From and To), and that you're reading the figure, not the comparison.

3. Filters

A Branch, Move type, Service, Salesperson, Source or Status filter left on changes everything. Press Clear filters on both.

4. Archived orders

Archived orders — and their money — are left out of every report and dashboard. Payroll is the one exception: an archived order's payroll still counts. A total written down before an order was archived will be higher. See Archived orders in reports.

5. What you're allowed to see

Reports follow the same rules as the orders list. Someone who sees only their own and unassigned orders gets figures for those only, and branches you don't belong to aren't counted. Two people can rightly see different totals — compare as an admin.

6. Quoted or closing amounts

An order has a quoted price and, once the job is done, its closing — what really happened on the day. Reports that add up different ones won't agree. The Notes under each report say what it includes.

7. Refunds, fees and tips

Card fees, refunds and tips change what reaches the bank. A payments report shows money taken; your bank shows deposits after the processor's fees and on its own schedule.

8. When it was worked out

The line under the period says when the figures were worked out. Press Refresh to work them out again now.

Find the difference

Click the two numbers (See the orders behind this) and compare the lists — the orders in one and not the other are your answer. CSV on both makes it easy in a spreadsheet. See Read a report.
