Archived orders in reports

Archived orders — and the money on them — are left out of every report and dashboard. Payroll is the one exception.

Archiving an order is how you delete it: nothing is truly removed, but the office stops seeing it. Reports follow the same rule.

What is left out

An archived order isn't counted anywhere:

  • in any report's counts — leads, bookings, jobs;
  • in money — revenue, payments, balances, deposits, refunds, profit, commission and sales reports, the invoices list and its totals;
  • in storage money tied to that order;
  • on dashboards, and in Ed's answers.

Nothing stored changes; the archived order is simply left out of what is read.

The exception: payroll

People were paid for the work, so an archived order's payroll still shows and counts in every payroll screen, report and statement — marked "archived order #…". See Archiving a job with payroll.

Seeing archived orders

Only a company admin can choose Archived in a report's Status filter (where the report has one) to see them on purpose. What an admin sees with that filter is never shown to anyone else.

Why a number dropped

If a report's figure went down for a past period, an order in it may have been archived since. Ask an admin to check with the Archived status filter.
