Import your orders from a file

Bring your jobs into MoveBoard from a .csv or .xlsx export — prepare the file, match its columns, fix problem rows, preview and import — and what each imported order carries.

Import brings orders in from a spreadsheet — usually the export of the software you use today — into the branch you're working in.

Before you start

  • You need to be able to open Settings.
  • Export your jobs as .csv or .xlsx, with the column headings in the first row. An old .xls file must be saved as .xlsx or .csv first.
  • Every order needs a move date and the customer's primary phone. A service type is recommended.
  • Very large files: split them (for example one file per year).

Import

  1. Open Settings › Sales & orders › Import orders.
  2. Upload File — drop the file on the box or click to choose it.
  3. Map Columns — each MoveBoard field shows the Column in your file matched to it. Headings from SmartMoving, Moveworx, Supermove, Granot and HomeAdvisor exports are matched by themselves; check them and change any that are wrong. Still to match: lists required fields still missing. Columns you don't need can be Not imported (kept in the notes). Press Validate data.
  4. Validate Data — the rows with problems, and what's wrong with each. Type fixes straight into the cells and press Re-validate, or Download problems to fix them in your spreadsheet. See Import problems.
  5. Preview & Import — how many orders are ready, and the first 20. Leave Don't send any emails or texts for these orders ticked unless you want these customers to get your messages. Press Import.
  6. Import Progress — keep the page open until it says Import complete.

What comes in with each order

  • The customer (name, phones, email) and the addresses, including extra stops.
  • The move date, service, size (cubic feet or pounds), movers, trucks, arrival window and the delivery dates.
  • The status — words from other software such as Opportunity, Confirmed, Lost or Cancelled are turned into MoveBoard statuses.
  • The source, sales person, lead score and flags.
  • The prices and totals from your file, kept over MoveBoard's own calculation.
  • The notes (sales, foreman, client, dispatch), and the money already received.

After the import

  • The Import history card lists each run — Completed, Completed with errors or Import failed — with Total, Imported and Failed, and an Errors CSV for the rows that failed.
  • Open a few imported orders and check them against your previous software.
  • If you imported with messages off, switch them on per order when you want to write to that customer.
