Product Update: Client Portal Now Includes Photo Upload and Visual Inventory Builder

One of the biggest challenges in the moving industry is getting an accurate inventory before the move. Customers forget items, underestimate box counts, and skip entire rooms. The result is a quote that does not match reality, leading to billing disputes and unhappy customers.

Today we are launching two new features in Elromco's client portal that solve this problem: photo upload and a visual inventory builder.

Photo Upload

Customers can now take photos of each room in their home and upload them directly through the client portal. Each photo is tagged with the room name and a timestamp, creating a visual record of the home's contents before the move begins.

For your estimating team, this means you can review actual photos of the customer's belongings instead of relying on their self-reported inventory. You can spot items the customer forgot to mention — the piano in the basement, the hot tub on the deck, the gun safe in the garage — and adjust the quote before move day.

Photos are stored securely in the customer's job record and are accessible to the crew on move day through the Crew Portal. This gives your foreman a preview of what to expect before they arrive.

Visual Inventory Builder

The visual inventory builder replaces the traditional text-based inventory list with an interactive, room-by-room interface. Customers select a room, then choose items from a visual catalog of common household goods — beds, dressers, sofas, dining tables, appliances, and more.

Each item includes a default cubic footage estimate, so the quote updates in real time as the customer adds or removes items. The customer can see exactly how their inventory affects their price, which builds trust and reduces the "sticker shock" that leads to cancellations.

For specialty items like pianos, pool tables, safes, and artwork, the system prompts the customer to add dimensions and upload a photo. This ensures your team knows about high-value or difficult-to-move items before the crew arrives.

How the Quote Updates

When a customer modifies their inventory through the portal, Elromco's online quoting engine recalculates the estimate automatically. The customer sees the updated price in real time — no waiting for a callback, no email chains. If the new total triggers a change in crew size or truck requirements, the system reflects that too.

Your office team receives a notification when a customer makes significant changes to their inventory, so you can review and approve before the updated quote goes live. You stay in control while the customer enjoys a self-service experience. If the customer is ready to book, they can proceed directly to online booking from the same portal.

Why This Matters

Moving companies that offer photo-based estimates report 30-40% fewer billing disputes compared to phone-based or form-based estimates. When the customer has documented their own belongings and seen the price calculated in real time, there is much less room for disagreement on move day.

The visual inventory builder also reduces the time your sales team spends on estimates. Instead of spending 15-20 minutes on the phone walking through a room-by-room inventory, the customer does it themselves at their own pace. Your team reviews the result and confirms — a process that takes 2-3 minutes instead of 20.

Availability

Photo upload and the visual inventory builder are available now for all Elromco customers. The features are enabled by default in the client portal — no setup required.

On move day, everything the customer uploaded feeds into the electronic Bill of Lading, creating a seamless paperless workflow from estimate to delivery.
